PRIMARY ROLE: The Manager, Medical Affairs Operations role requires a combination of operational, project management, and quantitative skills. Serving as an operations team member reporting to the Senior Director, Medical Affairs Operations, this role ensures that the day-to-day workflows, event logistics, documentation, and tracking tasks are executed efficiently to ensure Medical Affairs operates smoothly and meets its scientific, educational, and stakeholder-engagement goals. This position will be directly involved in the execution of current and future Medical Affairs Operations priorities, including launch preparedness, and will play an important role in assisting with continuous process improvement to achieve maximum operational efficiency. DUTIES AND RESPONSIBILITIES: • Coordinate and track activities across Medical Affairs and Commercial to help ensure effective launch planning and execution. • Manage department timelines and create reports/visual summaries of Medical Affairs projects and ongoing activities suitable for presentation to senior leadership using project management software; work cross-functionally to identify partner timelines and dependencies that impact the timing of Medical Affairs deliverables; assess, deploy, and use tools to achieve this purpose such as Smartsheet, Excel, MS Access, Office Timeline Pro+, and other tools as needed. • Collaborate with Medical Affairs functional areas including Field Medical, Publications, Medical Information, and Medical Outcomes to define, track, and analyze metrics and key performance indicators; Prepare periodic reports for senior leadership. • Support Medical Affairs technology enablement in collaboration with IT; Assess and test tools to increase operational efficiency across Medical Affairs activities. • Act as administrator to various Medical Affairs systems including, but not limited to, the Medical Affairs website and Customer Relationship Management System (CRM). • Support stakeholder engagement initiatives: e.g., curation and quality checking KOL management lists, advisory board execution, congress planning and post-event summary generation. • Contribute to data management, performance tracking, and analytics by creating, maintaining, and updating operational dashboards, performance trackers, and reports; help collate and translate raw data into actionable insights. • Assist in planning and supporting key medical congresses and other medical conferences; provide operational support at company medical exhibit booths and other company sponsored events. • Support Medical Affairs meeting planning and logistics including scheduling, booking rooms, making reservations, ordering catering, and procuring equipment. • Drive continual improvement in Medical Affairs operational excellence by proactively identifying and implementing strategies to overcome operational inefficiency, and by promoting best practices within Medical Affairs and with cross-functional partners. • Support Medical Affairs functional leads and internal partners to implement processes and maintain policies, SOPs, and systems to ensure operational excellence across Medical Affairs activities. • Uphold compliance, quality, and professionalism in all documentation and administrative workflows (e.g., confidential data handling, standard operating procedures). • Perform other duties as assigned. QUALIFICATIONS: • An BS or BA in Business or similar degree • 2 years in operations related role; pharmaceutical industry and Medical Affairs experience preferred • Quantitative skills and facility with databases • Excel and project management software proficiency • Self-starter and demonstrated ability to train and learn new software platforms quickly • Travel up to 40% • Strong verbal and written communication skills with the ability to develop cross-functional relationships and communicate with colleagues, business partners, stakeholders and upper management across varied styles and cultures • Must think critically and creatively, have strong organizational, analytical, and planning skills The annual base salary for this role is $140,000.00 - $155,000.00 This is a good faith estimate of the pay range for this position and offers will ultimately be determined based on various factors, including but not limited to, relevant work experience, skills, education, and certifications. As such, final compensation may fall outside of this range. This position will also be eligible for a discretionary bonus.
