Job Summary We are seeking a highly organized and detail-oriented Office Assistant to support our administrative team. The ideal candidate will possess strong computer skills, excellent customer service abilities, and experience managing office operations. This role involves handling front desk duties, managing multi-line phone systems, and providing administrative support to ensure smooth office functionality. Bilingual skills are a plus, as well as experience with QuickBooks, Microsoft Office, Google Workspace, HHA Exchange, Aloraplus and office management tasks. The Office Assistant plays a vital role in maintaining an efficient work environment and delivering exceptional customer support. Duties • Greet visitors and manage front desk operations with professionalism and courtesy • Answer multi-line phone systems, screen calls, and direct inquiries appropriately • Perform data entry, filing, and document proofreading to ensure accuracy and organization • Manage calendar appointments and schedule meetings using Microsoft Office and Google Workspace tools • Assist with bookkeeping tasks using QuickBooks and handle basic office management responsibilities • Provide customer service support via phone and in person, ensuring positive interactions • Support administrative tasks such as typing correspondence, maintaining files, and processing invoices • Coordinate with team members to streamline office workflows and improve organizational efficiency • Maintain office supplies inventory and order necessary materials as needed Experience • Prior office experience or clerical background preferred • Proven proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications • Experience with QuickBooks or bookkeeping is advantageous • Strong organizational skills with the ability to multitask effectively in a fast-paced environment • Excellent phone etiquette and customer service skills • Bilingual abilities are a plus for communicating with diverse clients or staff • Familiarity with front desk operations, calendar management, data entry, and filing systems • Personal assistant or medical/dental receptionist experience is beneficial but not required • Demonstrated ability to manage time efficiently and prioritize tasks effectively Job Type: Full-time Pay: $10.00 - $12.50 per hour Expected hours: 40 per week Work Location: In person
