Chamber Operations Director (Part-Time) Elma Chamber of Commerce Elma, Washington 25 – 35 hours per week | $25– $30/hour (DOE) Scheduled hours:Monday through Friday 9 am to 2pm (somewhat flexible if needed) Some additional evening and/or weekend hours required for Chamber events This position is open until filled. The Chamber Operations Director manages the day-to-day operations of the Elma Chamber of Commerce, and leads the planning and execution of Chamber events and programs. This role works closely with the Board of Directors to support Chamber strategic goals, strengthen member engagement, and ensure organized, professional operations. This position is ideal for a self-motivated professional who is organized, community - minded, and comfortable balancing operations, events, and budget responsibilities. Key Responsibilities: Operations & Administration • Manage daily Chamber operations with an emphasis on structure, consistency, and organization • Maintain Chamber records, calendars, and documentation • Ensure deadlines, commitments, and action items are monitored and completed • Oversee routine administrative functions and correspondence • Support Board of Directors with meeting preparation, agendas, and follow-up • Support invoicing, deposits, expense tracking, and financial organization (in coordination with the Treasurer/Board) • Apply for grants and submit reimbursement requests • Maintain accurate records to support transparency and reporting Membership & Community Relations • Serve as the primary point of contact for members, partners, and the public • Build and maintain strong relationships with Chamber members, sponsors, and community partners • Support and increase membership recruitment, retention, and renewals • Assist with communications, newsletters, and social media coordination • Plan and coordinate monthly and quarterly membership networking events • Recruit and organize volunteers • Deliver event and tourism updates to the Elma City Council each month Event Planning & Execution • Plan, coordinate, and execute Chamber events and programs • Follow event timelines, task lists, and logistics plans • Coordinate vendors, volunteers, sponsors, and community partners • Manage event promotion in coordination with marketing and communication efforts • Ensure events are well-organized, professionally executed, and aligned with Chamber goals • Track event-related expenses and outcomes to inform future planning • Attend and support events as required (some evenings and weekends required) Budget & Financial Oversight • Assist with the development and management of the Chamber’s annual budget • Track expenses and revenues related to operations and events • Monitor budgets to ensure responsible use of funds • Coordinate with the Treasurer and Board on financial reporting and oversight • Support sponsorship tracking, invoicing, and financial documentation related to events and memberships Staff & Contractor Oversight • Supervise and support a part-time Office Assistant (if/when hired) • Coordinate with contracted event planners for major annual events (if/when contracted) • Assign tasks, set priorities, and ensure work is completed accurately and on time • Support training, clear expectations, and consistent workflows • Foster a professional, reliable, and accountable office environment Board & Committee Support • Work closely with the Board of Directors to implement operational and strategic priorities • Assist in organizing the annual Chamber strategic planning meeting • Prepare agendas, reports, and meeting materials • Track board and committee action items and communicate progress Qualifications • Strong organizational, communication, and time-management skills • Experience with event planning, budget tracking, and financial oversight preferred • Ability to work independently and manage multiple priorities • Experience with administration, coordination, or nonprofit/community organizations preferred • Comfortable supervising staff and working with volunteers • Proficiency with basic office software (email, documents, spreadsheets, calendars) • Passion for supporting local businesses and community engagement Schedule & Compensation 25–35 hours per week $25–$30 per hour, depending on experience Flexible schedule with some evenings and weekends required for meetings and events Why Join the Elma Chamber?
