New Patient Intake Coordinator Reports To: Executive Director of Operations Job Overview: The New Patient Intake Coordinator is responsible for providing exceptional clinical and administrative support to ensure efficient patient flow and a positive experience for both patients and providers. This role serves as a key liaison between referring partners, internal departments, and patients to facilitate timely scheduling and accurate documentation. Responsibilities and Duties • Assist referred clients from healthcare providers, law firms, and funding companies by scheduling appointments through EClinicalWorks (Practice Management System). • Communicate effectively with law offices, the Marketing Director, and other relevant departments to schedule patients with the appropriate physician. • Track and manage incoming requests via phone, email, fax, and Referral MD. • Collect new patient demographics and medical records as needed. • Verify health insurance benefits when required. • Maintain professionalism and a calm demeanor under pressure, especially when scheduling urgent or emergency appointments under time constraints. • Accurately schedule and reschedule patients using correct appointment types. • Document all encounters and communications in patient accounts. • Perform additional duties as assigned, including tasks that arise due to changes in processes or organizational structure. Qualifications • Experience with EMR scheduling—EClinicalWorks preferred • Personal Injury background preferred. • Proficient typing skills (40 wpm minimum). • Strong customer service skills with a patient-centered approach. • Bilingual in Spanish preferred, but not required. • Excellent verbal and written communication skills. • Ability to work efficiently in a fast-paced, high-volume practice. • Strong multitasking abilities and attention to detail. • Working knowledge of computers, fax machines, and other office technology.
