As a 7-figure agency, we are expanding our leadership team to strengthen our administrative and operational foundation. We are seeking an experienced Operations Manager (Contractor) to bring systems, structure, and accountability to our administrative team while supporting smooth collaboration with clinical leadership and our billing company. Position Overview The Contracted Operations Manager will work 20-30 hours per month (with potential to grow) and will serve as the central hub for administrative operations. This role focuses on building systems, enforcing deadlines, improving efficiency, and ensuring strong communication between admin, clinical, and billing functions. This is a 1099 contract role — ideal for an experienced healthcare or small business operations professional seeking flexible part-time work. Key Responsibilities Audit and refine workflows for scheduling, intakes, office rentals, supply management, and HR file maintenance. • * Develop and enforce SOPs, policies, and checklists for administrative processes. • Supervise and support the Admin Manager and admin staff, ensuring deadlines and projects are consistently met. • Act as liaison with the billing company, monitoring claim submissions, denials, and client balances. Partner with clinical leadership to align administrative practices with compliance standards. • Oversee credentialing and onboarding compliance for staff. • * Create and maintain a simple operations dashboard (Excel/Airtable/other tools) to track performance. • Provide monthly operations reports and updates to the CEO. Qualifications 5+ years of experience in operations, practice management, or project management (healthcare or behavioral health strongly preferred). • Strong organizational and project management skills — detail-oriented, deadline-driven. • Demonstrated ability to lead teams, supervise staff, and enforce accountability. • Familiarity with billing, compliance, and HR processes in healthcare settings. • Comfortable with technology and able to implement workflow tools (e.g., EHRs, scheduling software, Airtable, Excel). • Excellent communication and leadership skills. • Contract Details • Hours: Approx. 20-30 hours/month (may increase during growth phases). • Compensation: Competitive hourly rate (commensurate with experience). • Schedule: Flexible, with standing weekly check-ins and monthly reporting deadlines. • Location: Remote with some in-office availability preferred (depending on practice needs).
