OBJECTIVE: The Administrative Assistant will assist in the ongoing growth and organization of Elevation Individual and Family Therapy, PLLC. This position is ideal for an individual who is organized, detail-oriented, innovative, tech-savvy and friendly. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES: • Greet clients, check them in, and help them get comfortable upon arrival to the office • Answer and return incoming client phone calls, messages, and emails • Schedule client appointments • Verify client insurance benefits • Obtain prior authorizations, as needed • Monitor EAP client billing • Collect client payments (co-pays, co-insurances, etc.) • Submit insurance and third-party payer claims, as needed • Follow-up on claims status and billing issues, as needed • Follow-up with outstanding billing tasks scheduled to be completed by any third-party billing or collection agencies • Enter payments received by clients or pay sources • Complete appointment verification calls to clients prior to scheduled appointments • Coordinate with internal team and external sources regarding client billing • Entering data/information into the scheduling/electronic health record system • Manage inventory and supplies • Perform clerical tasks including, but not limited to: • Copying and faxing documents • Scanning/uploading records into EHR system • Drafting forms and documents • Organizing office supplies, purchase receipts and documents • Receiving and filing mail, as well as sending outgoing mail • Mail patient billing statements • Assist in the regular auditing and maintenance of client charts and company documents • Provide superior customer services to clients and staff through written and verbal communication in a timely manner • Maintain general appearance and cleanliness of common areas (sanitize common areas, refill snack container, etc.) • Under the direction of administrative manager, contact insurance companies and referral sources as needed regarding questions, billing discrepancies, or any other concerns presented by the clinical team • Provide effective communication to all staff and employees • Respond to internal and external emails in a timely fashion, within 24 hours upon receipt of email • Other tasks as assigned by Administrative Manager or CEO REQUIREMENTS • Must have completed a minimum of a high school diploma or GED • Experience with office management, preferred • Effective communication skills • Excellent problem-solving skills • Ability to interact effectively with all internal and external customers • Proficient in Microsoft Office Suite or related software • Excellent organizational skills and attention to detail • Skilled at establishing and maintaining positive and effective work relationships with co-workers, clients, members, providers, and other business partners • Excellent analytical, decision-making, and problem-solving skills • Ability to lift 10-15 pounds • Some evening and weekend availability required
