Job Title: Office Manager Company: Element Contract Location: Portland, OR Job Type: Full-time About Us At Element Contract, we design, manufacture, and distribute office furniture with a focus on quality and amazing customer service. We’re a growing team that works hard, supports one another, and has a little fun along the way. We are seeking someone to help keep our office running smoothly and ensure that details don’t slip through the cracks. Position Overview The Office Manager is the central hub of our administrative operations. In this role, you’ll balance day-to-day tasks (such as keeping documents organized, coordinating schedules, and supporting staff) with broader responsibilities (including improving workflows, helping onboard new employees, and ensuring company processes stay on track). You’ll be a connector across departments and a steady hand that helps everything run efficiently. What You’ll Do Office Operations • Maintain smooth day-to-day office operations. • Keep shared files and documents organized and up-to-date. • Provide support to all team members, including managing time off requests and assisting with benefits setup. Team & Department Support • Provide administrative support to customer service, order entry, accounting, purchasing, and warehouse teams. • Track order flow and coordinate communication between departments. • Assist with scheduling meetings and keeping timelines on track. HR & Employee Support • Help onboard new hires and maintain employee records. • Track employee reviews and assist with scheduling evaluations. • Support with PTO requests, training schedules, and general HR paperwork. Process & Workflow • Help improve and document standard operating procedures (SOPs). • Identify ways to streamline tasks and make processes more efficient. • Ensure compliance with company policies and maintain records for insurance, licensing, and other business needs. General Problem-Solving • Be the go-to person for questions, issues, or unexpected office needs. • Step in where needed to keep the team moving forward. • You're the team's go-to problem solver when things get tricky- helping troubleshoot challenges and making sure the team can keep doing their best work. What We’re Looking For • 3+ years of office management, administration, or related experience. • Strong organizational skills and an eye for detail. • Friendly, professional communication skills (written and verbal). • Ability to balance multiple priorities in a fast-paced environment. • Proficiency in Microsoft Office and Google Workspace (Docs, Sheets, Drive). • Experience with QuickBooks or other accounting software is a plus. • Someone who’s proactive, adaptable, and enjoys supporting a team.
