Executive Operations Partner $80,000–$120,000 Houston, TX – On-site (with some flexibility when the CEO is traveling) ELECTROSTAR Electronics Recovery Solutions LLC is a Houston-based disaster recovery company specializing in the restoration of electronics, machinery, and industrial equipment after fire, water, chemical, and environmental events. We operate nationally on complex, high-stakes, project-based work and have been recognized three times on the INC. 5000 list of America’s fastest-growing private companies. We are seeking an Executive Operations Partner / Automations Expert to work directly with the CEO in building and maintaining the front-office operating system of the company. This is not a calendar-management or gatekeeper role. This is a hands-on execution role focused on operations, systems, visibility, and follow-through—designed to improve how work moves from scope to execution to invoice. What You Will Own • Scopes of Work (SOWs): Draft, review, and improve SOWs so scope, execution, and billing are aligned and defensible. • WIP & operational visibility: Build and maintain WIP, billing, SOPs and operational dashboards leadership can rely on. • Billing & invoicing systems: Help automate invoice creation and billing workflows to reduce delays, errors, and rework. • Front-office operations: Learn and support intake, mobilization, logistics, invoicing, payroll coordination, and related workflows. • Cross-functional backup: Understand each front-office function well enough to serve as short-term backup if a primary is out. • Process improvement: Identify operational pain points and implement practical system improvements while the business is running. • Client support: Assist with client communication related to scope, progress, and billing clarity when needed. • CEO support: Keep the CEO informed with clear, actionable operational insight—not noise. • Process creation: Turn high-level ideas into clear, repeatable workflows and operating practices. • Project coordination: Track major initiatives, ensure follow-through, and keep leadership synchronized. • Hiring & people systems: Support recruiting strategy, onboarding design, and talent development. • Problem-solving: Anticipate issues, resolve friction points, and maintain forward momentum. Role Expectations • Learn the business by doing, not observing. • Be comfortable working directly in QBO and related systems. • Operate with high ownership and limited direction. • Improve systems in real time, not in theory. What You Bring • 8–10+ years in operations, Chief of Staff, senior EA to CEO, or project-based leadership roles. • Experience in project-based or services businesses where billing depends on scope, progress, or completion. • Exposure to WIP, job costing, billing workflows, or operational reporting. • Strong written communication skills, including experience drafting or managing SOWs or client-facing operational documents. • High proficiency with Excel and Office 365; comfort building dashboards and working with operational data. • Experience improving or automating workflows (billing, reporting, approvals, intake, etc.). • Ability to work in a fast-paced environment with shifting priorities. • Bilingual (English/Spanish) strongly preferred. • Must be local to Houston and comfortable working onsite. • Proven discretion, integrity, and sound judgment.
