Job Overview: The Administrative Assistant will provide essential support to both the Accounting department and Front Desk operations. This role is responsible for ensuring smooth day-to-day office functions, assisting with accounting-related tasks, and maintaining effective communication across departments. The ideal candidate is organized, dependable, and comfortable managing a variety of administrative responsibilities in a fast-paced environment. Job Knowledge, Skills, and Abilities Knowledge: · High school diploma or equivalent required. · 2–3 years of administrative support experience, preferably in an office or accounting environment. · Proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook. · Basic understanding of accounting processes and terminology is a plus. Skills and Abilities: · Strong organizational and time management skills with the ability to prioritize tasks effectively. · High level of attention to detail and accuracy in data entry and document handling. · Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook. · Ability to learn and utilize office systems and software (e.g., ShareFile, office phone systems, scanners). · Excellent verbal and written communication skills. · Strong interpersonal skills, with the ability to interact professionally with staff, vendors, and visitors. · Ability to manage confidential information with discretion and professionalism. · Dependable, proactive, and capable of working both independently and collaboratively. · Flexible and adaptable to shifting priorities and multiple tasks. · Strong problem-solving skills with the ability to follow through on assignments. Essential Functions: · Perform basic data entry in Excel to support the accounting team. · Scan documents and file PDF copies in ShareFile. · Maintain organized and accurate filing systems for physical and digital documents. · Answer and route incoming calls in a courteous and professional manner. · Greet and assist walk-in visitors, directing them as needed. · Perform routine shredding of confidential or outdated documents. · Prepare and assemble job file folders, including labeling and organizing contents. · Monitor and restock office supplies to ensure efficient daily operations. · Restock kitchen supplies daily to maintain a clean and fully stocked break area. · Assist with a variety of administrative tasks and special projects as assigned.
