Job Title: Executive Assistant / Operations Coordinator – Home Health Care Location: Orange, New Jersey Schedule: Monday – Friday 8:30am – 4:30pm Reports To: Agency Administrator and/or Chief Executive Officer (CEO) Position Overview: We are seeking a highly organized, detail-driven, and compassionate professional to join our team as an Executive Assistant / Operator in our home health care agency. This role supports the daily operations of the agency by managing administrative tasks, coordinating staff and client communications, and ensuring compliance with state and federal home care regulations. The ideal candidate is proactive, resourceful, and capable of managing multiple priorities in a fast-paced healthcare environment. Key Responsibilities: • Administrative Support: • Manage calendars, emails, and appointments for the Administrator and leadership team. • Prepare reports, maintain documentation, and handle confidential information with discretion. • Support billing, payroll, and data entry functions related to clients and caregivers. • Operations Coordination: • Assist in onboarding and scheduling caregivers to ensure coverage for client care needs. • Monitor daily operations and respond to client or caregiver inquiries promptly and professionally. • Maintain accurate records for compliance with DHS, DDD, and Medicaid requirements. • Compliance & Licensing: • Track renewals, licenses, and mandatory caregiver certifications. • Ensure agency operations comply with state home care regulations, policies, and procedures. • Support audit preparation and documentation. • Communication & Client Relations: • Act as a liaison between clients, families, and caregivers to ensure quality service delivery. • Handle phone calls and messages with professionalism and empathy. • Support marketing and community outreach as needed. Qualifications: • Associate or bachelor’s degree preferred (Healthcare Administration, Business, or related field). • 2+ years of experience in a home health care agency or medical office environment. • Strong knowledge of home care regulations, insurances such as Veteran Affairs, Medicaid, Medicare, Developmental Disabilities Division preferred (DDD), and Jersey Assistance for Community Caregiving (JACC Program) • Excellent communication, multitasking, and organizational skills. • Proficiency in Microsoft Office, Google Workspace, and scheduling systems. • Ability to work independently with strong attention to detail and confidentiality.
