Job Description: The Sales Specialist plays a critical role in supporting the efficiency, organization, and overall success of the Sales team, including the VP of Growth, the Chief Revenue Officer (CRO), and Account Executives. This position manages complex workflows, coordinates cross-departmental efforts, assists with training and onboarding, supports daily operations, and helps streamline processes that enhance team performance and the client experience. The ideal candidate is detail-oriented, proactive, and tech-savvy, with the ability to support multiple teams in a fast-paced environment. They excel at follow-through, communication, and aligning processes across leadership and sales teams to ensure smooth operations and high-quality client engagement. Responsibilities Sales Team Onboarding • Prepare individualized sales training plans and schedules to give new representatives a structured and effective start. • Support the continued development of the Sales Playbook in coordination with team leadership. • Ensure completion of all sales-specific system setups, including access to CRM, sales tools, and required training modules. • Assist the onboarding team by providing sales-specific welcome touches, such as manager welcome cards. • Schedule ongoing training sessions with leaders across the organization. Sales Operations & Support • Create all new signable quotes (PandaDoc) as part of the updated sales process to accelerate turnaround times for signatures • Assist with HubSpot CRM tasks, including reports, dashboards, and general system support. • Support sales representatives with proposals, RFPs, and major opportunities through: • Asset collection and organization • Basic graphic edits and formatting • Document preparation, data entry, and content assembly Client Experience & Engagement • Manage “Surprise & Delight” gifting efforts, including books, branded items, and meeting gifts. • Coordinate post-event client canvases: selection, editing, ordering, shipping, and thank-you correspondence. • Partner with Media/Marketing to ensure photography coverage at key events as well as photo management process for entire team • Curate and organize event photography into a unified system (e.g., SmugMug or PixieSet) for easy team access. • Assist with annual holiday client donation initiatives. Research & Administrative Support • Conduct research on industry events, awards, sales tools, and publicly available RFPs • Support sales team logistics such as travel coordination, scheduling, and training planning. • Performs other related duties and special projects as assigned to support the VP of Growth, CRO, and the overall Sales team. Education & Experience • 2+ years of experience in Sales Support, Sales Operations, Deal Desk, or a related role supporting a sales team or sales leadership. • Bachelor’s degree (BA/BS) preferred, or equivalent experience in sales operations, sales support, or administrative roles. • Proven ability to review and prepare quotes, proposals, RFPs, bids, and client specifications accurately and efficiently. • Strong organizational skills with excellent attention to detail and the ability to manage multiple projects, deadlines, and stakeholders in a fast-paced environment. • Proficiency with CRM platforms (HubSpot preferred; Salesforce or similar acceptable) and comfort learning new systems quickly. • Experience with proposal/document tools (PandaDoc, DocuSign, CPQ tools, or similar). • Strong written and verbal communication skills, including the ability to create professional client-facing materials. • Tech-savvy with basic presentation and graphic editing skills (PowerPoint, Google Slides, Canva) preferred. Salary & Benefits $60,000 - $70,000, depending on experience.
