Full Description

Overview We are seeking a highly organized and detail-oriented Administrative Assistant to join our small team. This role is essential in supporting daily office operations, managing communication, and ensuring smooth workflow across departments. The ideal candidate will possess strong computer literacy, excellent organizational skills, and the ability to handle multiple tasks efficiently. Bilingual abilities and prior office management experience are highly valued to enhance team support and client interactions. Responsibilities • Answer phones, greet visitors, handle mail, and manage incoming/outgoing communications with our vendors. • Order and maintain office supplies, process expense reports, and handle general office upkeep while maintaining both electronic and physical filing systems. • Utilize Microsoft Office Suite and Google Workspace for correspondence, reports, and scheduling • Manage appointments for our service technicians and maintain the calendar • Perform basic bookkeeping, manage billing records, process invoices, and enter data into spreadsheets or databases. • Provide excellent customer service via phone, email, and in-person interactions • Support personal assistant duties as needed, including travel arrangements and correspondence • Ensure proper phone etiquette and professional communication at all times Qualifications • Proven experience in office administration or clerical roles with strong organizational skills • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications • Experience with QuickBooks, data entry, filing systems, and basic bookkeeping preferred • Excellent written and verbal communication skills; bilingual abilities are a plus • Strong attention to detail with proofreading skills • Ability to manage multiple priorities efficiently with good time management skills • Previous experience in customer service or as a receptionist (Construction field is a plus). • Demonstrated professionalism with excellent phone etiquette and customer support skills Job Type: Part-time Pay: $16.00 - $18.00 per hour Expected hours: 18 – 20 per week Work Location: In person
