Position Overview Office Assistant 1 - Center For Families SALARY: $1,211.2 - $1,357.2/month ($17.40 - $19.50/hr) for a 16 hour per week schedule LOCATION: Lynnwood Washington DESCRIPTION: The office assistant will support the Director, and Assistant Director in the daily office and reception needs of the Center for Families and CFF childcare. Under general supervision, independently perform a variety of clerical projects and assignments. Responsibilities include greeting customers, assisting with accessing the secure area, monitoring entrance and exit doors, responding to inquiries and providing program information to students and the public via phone, in person and email; scheduling students for observations and interviews; responding to inquiries requiring knowledge of office/departmental policies and procedures; computer word processing; using a multi-line phone system; filing/e-filing; retrieving and processing mail; duplicating; and other assigned clerical tasks. Within established guidelines, independently organizes, prioritizes, and initiates work activities. This position supports the colleges¿ mission by supporting access and success by removing one of the 3 most common barriers to higher education by providing on-campus high quality childcare for student parents; family support services to strengthen the students personal, educational and career goals and academic success. Additionally, provides educational opportunities for students seeking careers in early childhood education and/ or family support, culinary and office administration. The position also sets the foundation for lifelong learning for future Tritons within the early childhood education programming for the students' children. Employees within the Edmonds College Center for Families childcare embrace innovation by participating in state and national quality improvement models and assessments for accreditation. Responsibilities Include, But Are Not Limited To: • Serve as primary contact with the community for program information, scheduling tours and observations when assigned • Provide accurate and current information regarding enrollment for CFF programs. • Provide college and community resource and referral information for clients and community members, as needed.¿¿¿ • Support childcare enrollment by collecting forms, updating child files, updating Procare and maintaining child files to meet licensing requirements. • Maintain filing systems for records and forms. • Prepare daily sheets for child attendance, weekly meal count forms, etc. • Communicate with families about enrollment and attendance via phone and email. • Assist with collecting data for grants.¿¿ • Monitor and confirm CFF clients are eligible for entrance through the security door. • Monitor children are not exiting unsupervised. • Report safety hazards to administration and/or take action to address the safety concern. • Be prepared to follow protocols for emergencies and/or dangerous persons. • Exercise judgment and interpretation of childcare licensing regulations, center and college policies and procedures and NAEYC accreditation standards. • Communicate in English (both orally and in writing) at a professional level with staff, clients, children, management, outside agencies, educational community and the public in small to large group settings, one-on-one, or on the phone providing grammatically correct and content appropriate information suitable for diverse populations. • Produce written documents with clearly organized thoughts using proper sentence construction, punctuation and grammar. • Maintain children, parents, students, volunteers and staff confidentiality and handle child, parent and family information in a confidential, professional and sensitive manner exercising appropriate discretion in sharing the information on a need to know basis. • Perform occasional sanitation/cleaning of the conference room, lobby and front office area that may require the use of a broom, carpet sweeper, mop, vacuum and the use of cleaning products. • Be punctual and maintain consistent attendance (90%) and have flexibility for scheduled break and lunch. • Other duties as assigned. REQUIRED QUALIFICATIONS: • One or more years experience working with children ages, infancy to pre-kindergarten. • Provide exceptional customer service to all individuals, including those for whom English is not a primary language and individuals with varying mental and physical abilities. • Ability to operate a PC computer and standard office equipment including software knowledge of Word, Excel, Google email and Google docs and Procare and accurately input data into established spreadsheet, database and word processing programs; maintain required documentation, record-keeping and tracking systems. • In order to assure the safety of each child, an employee in this position, while in the presence of children, is expected to remain alert and focused at all times and make quick and spontaneous decisions using problem-solving skills and good judgment based on organizational policies and procedures. • Maintain the safety of the environment through visual, auditory, verbal, mobility and smell. • Work is performed in a fast-paced early learning childcare program at the Center for Families including exposure to varying environmental conditions, changing positions frequently, able to move quickly, and light cleaning duties that may involve body fluids and require cleaning products. DESIRED QUALIFICATIONS: • Be willing to support the college¿s policies and directions should a conflict arise, be willing to work within the institution¿s internal procedures to voice concerns and resolve conflicts • Ability to work collaboratively with colleagues in the Department, Student Services and Health and Human Services Division and instructional programs PHYSICAL WORK ENVIRONMENT: Work is performed in a fast-paced early learning childcare program at the Center for Families including exposure to varying environmental/weather conditions, light cleaning duties that may involve body fluids and require cleaning products. Set-up a classroom that requires moving of child size furniture, tables, chairs, shelves, and regular sized shelving units. Working with children requires the ability to walk or run quickly, kneel or sit on the floor for long periods of time, lift approximately 50 pounds, sit in a child¿s size chair and move quickly from multiple positions and levels. Ability to walk and run on varying surfaces, including wood chips, sand, and hard floors. Perform regular sanitation/cleaning of the classroom that may require the use of a broom, carpet sweeper, mop, vacuum and the use of cleaning products. WORK SCHEDULE: Monday to Thursday 3hours, and 4hours on Friday, 9 months cyclic. Ability to report to work at scheduled time, flexibility for scheduled break and lunch, willingness to work with all age groups enrolled. Be punctual and maintain consistent attendance (90% required). COMPENSATION: Salary range 34. Beginning salary is $1,211.2 - $1,357.2/month for a 16 hour per week schedule, with progressive increases to $1,599.6. This position is not eligible for benefits.
