Perform bookkeeping duties including verifying financial data, managing accounts payable and receivable, preparing reports, supervising receptionists, and maintaining office and financial records.
High school diploma or equivalent with at least two years of bookkeeping and accounts payable experience, proficiency in QuickBooks, Excel, Word, online banking, and electronic deposits.
ESSENTIAL FUNCTIONS: Must be able to perform any combination of calculating, posting, and verifying duties to obtain financial data for use in maintaining accounting records. Compiles and sorts documents, such as invoices, checks, and substantiating business transactions. Verifies and posts details of business transactions, such as funds received and disbursed, and totals accounts using a calculator and computer. Oversees reception desk operations. Types vouchers, invoices, checks, account statements, and reports. Acts as accounts payable clerk and accounts receivable clerk on some accounts. Acts as fiscal agent for State funds and some ADRS clients who are not in-house clients. SPECIFIC DUTIES: 1. Will work under the direct supervision of the Director of HR/Compliance. 2. Will operate the switchboard as a backup; handling calls as necessary. In the performance of this duty must be aware that they project the image of Easterseals to the person calling and must develop a warm, friendly, calm, and polite voice. 3. Will answer inquiries made in person, assisting the visitor in any way possible. At the same time, must know and abide by the rules and regulations concerning visitors. 4. Will be responsible for notifying the Fire Department and designated Easterseals personnel in case of fire or other disasters. 5. Will be responsible for keeping the mailroom organized. 6. Must be knowledgeable of Quickbooks. 7. Will write purchase orders for outside orders. 8. Will reconcile shipments received with purchase orders and invoices. Written quotes must accompany the purchase order before the invoice is signed for large purchases. 9. Will be responsible for receipting all income. 10. Will prepare bank deposits; manually for cash and electronically for checks. 11. Will post receipts on the computer daily. 12. Will prepare IRS Miscellaneous 1099 reports for the calendar year. 13.Will be responsible for issuing checks daily as needed. 14. Must prepare the State of Alabama spreadsheet (STRECAP) for Audit. 15. Will be responsible for completing monthly reports of the State of Alabama Vocational Development invoices from the Counseling Department. 16. Will be responsible for posting all invoices incurred during the month. 17. Will take participate in In-Service Training. 18. Will be responsible for office equipment. 19. Will post all State of Alabama receipts to a spreadsheet; itemizing each amount. 20. Will prepare Visa/MasterCard/American Express/Fuelman charges through Quickbooks. 21. Will supervisor receptionists. 22. Will oversee building contracts. 23. Will carry out other duties as assigned by immediate supervisor as deemed necessary to keep the business office functioning orderly and properly from day to day. QUALIFICATIONS DESIRED: The minimum education requirement for this position is graduation from an accredited high school or equivalent. A minimum of two years’ experience in bookkeeping and accounts payable is required, must be proficient in QuickBooks, Excel, Word, online banking, and electronic deposits.
