Easterseals Academy is a therapeutic school that provides schooling for children with an autism spectrum disorder, emotional disability, developmental delay, or intellectual disability. School districts refer students to Easterseals Academy where the schools provide an alternative school placement for these students to help them to achieve independence. Easterseals Academy has three campuses, located in Chicago, Machesney Park, and Tinley Park. For more information about our organization, please visit us online at www.eastersealschicago.org. The primary responsibility of the Office Manager is to oversee the day-to-day operations of the office processes and support the programs in all aspects of routine administrative duties. In addition, it is the responsibility of the Office Manager to ensure that the building maintains compliance with all governing entities. The Office Manager follows the school schedule, working 37.5 hours per week. This position is located at the Easterseals Academy - Tinley Park Campus at 17300 Ozark Avenue, Tinley Park, IL 60477. MAJOR FUNCTIONS/ACCOUNTABILITIES: Oversee daily operations within the school office, including greeting visitors, assisting with parent/guardian questions, and staff issues. Support and train Assistant Office Manager and/or Receptionist(s). Process pre-hire and hire information (including creating personnel files, coordinating background screenings, drug tests, verifying references, etc.) for all potential candidates. Oversee maintenance of personnel files, including filing and scanning documents. Assist with the maintenance of staff attendance records. Complete employee status change process throughout the year as needed. Manage the ordering and distribution of staff uniforms. Coordinate with Human Resources on workers’ compensation and FMLA issues. Coordinate with the Payroll Department related to all payroll issues and maintain an accurate payroll system. Coordinate with the Accounting Department on all issues and maintain an accurate cash log system. Create and maintain systems for school district contracts and billing. Maintain student files, including reporting student attendance to respective districts and updating the student information system. Coordinate SIS data input. Manage office equipment contracts and coordinate service when required. Process all purchase orders utilizing the appropriate system and follow up on purchasing issues as needed, including coordination of packing lists and purchase slips. Process all check requests and reimbursement documents. Complete all monthly, quarterly, and annual reporting within timelines. Assist with the coordination of special events, field trips, and volunteers as needed. Coordinate the school lunch program, including supervision of lunch program staff. Collaborate with the administrative team on staff memos, preparation for meetings, and events. Maintain a health and safety binder and schedule drills in conjunction with the School Administrator. All other duties as assigned. Requirements Education/Certification: Associate's Degree or equivalent Experience Required: Minimum 3 years of administrative experience or a related field Preferred understanding and awareness of autism and related disorders, strong communication skills Skills/Abilities: Ability to multi-task in a high-stress environment Ability to interact with diverse personalities Proficiency in Microsoft Office and Outlook and other software programs as needed Ability to meet strict deadlines Well organized and detail oriented with emphasis on accuracy Excellent verbal and written communication skills Ability to maintain a high level of confidentiality ADA: Easterseals will make reasonable accommodations in compliance with the Americans with Disability Act of 1990.
