Perform medical receptionist duties in the morning and administer TMS treatments in the afternoon, including patient scheduling, check-in/out, insurance verification, and device operation.
Requires Medical Assistant certification (RMA or CMA), BLS certification, ability to multitask, and preferably TMS certification or related degree.
Overview: This position will serve as the TMS technician in the afternoons, as well as a medical receptionist in the mornings. Your certification must be uploaded to your profile Responsibilities: Greet and arrive patients in a courteous and timely manner. Checks-in and checks-out patients, obtains referrals when appropriate, schedules outside appointments with specialists when requested and handles hospital consults. Registers existing and new patients, verifies demographics and insurance, determines insurance copays, and collects money and copays to send to the Medical Group, post all payments collected into IDX. Responsible for retrieving the phones from the answering service at the beginning of each day and transferring phone lines to the answering service at the end of each day. After transferring calls to the answering, call the number to verify that everything went through correctly Answers incoming calls and handles by transferring, entering a message in the EHR or paging doctors when appropriate. Schedule/reschedule clinic and ancillary testing appointments. Responsible for working/maintaining task list in the electronic medical record and assist with reports as needed. Checks the electronic medical record for referrals and authorization prior to visit or upon patient arrival. Makes sure all information/ paperwork in scanned into the patient’s chart. Responsible for the process and workflow of new intakes. All other duties as assigned related to front office and administrative duties Administer TMS treatments per physician-ordered protocol and device guidelines (e.g., NeuroStar, MagVenture, BrainsWay) Prepare and position patients correctly for each session (motor threshold mapping, coil placement, etc.) Monitor patients for safety, tolerability, and side effects during sessions Provide emotional support to patients throughout treatment — help ease anxiety and build trust Observe and document behavioral or emotional changes and communicate concerns to the supervising provider Accurately chart treatment data, patient responses, and session notes in the EMR (e.g., EPIC) Educate patients on what to expect during TMS treatment and answer non-clinical questions Set up, calibrate, and operate TMS device according to manufacturer and clinical guidelines Ensure correct coil placement and stimulation parameters based on motor threshold testing Troubleshoot basic device issues or errors; escalate technical concerns to supervisors or vendors Maintain a clean and organized treatment room between patients Perform regular equipment checks and report any issues that could affect patient safety or session accuracy Schedule and confirm patient appointments Check patients in/out and provide appointment reminders Assist with intake forms, pre-treatment screening, and progress monitoring questionnaires Track and document patient progress through the treatment series Verify insurance benefits and coordinate with billing staff as needed Maintain accurate and organized patient records in compliance with HIPAA Assist in optimizing clinic workflows, tracking outcomes, and reporting data if required Qualifications: Successful completion of a Medical Assistant program and certification (RMA or CMA). Equivalent military training will be accepted. Completion of BLS class and re-certify every 2 years. Ability to balance multiple priorities and tasks. Ability to make professional decisions under the supervision of the physicians and licensed nurses.
