Job Summary We are seeking a dynamic and organized Front Desk Receptionist to be the welcoming face of our office. This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily operations. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills, with the ability to handle multiple tasks efficiently. Bilingual abilities and experience with office management tools are highly valued to enhance our team’s effectiveness. Responsibilities • Greet visitors and clients warmly, creating a positive first impression for everyone entering the office. • Answer multi-line phone systems promptly and professionally, directing calls accurately and courteously. • Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Office. • Handle data entry, filing, and document proofreading to maintain organized records and ensure accuracy in all communications. • Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software. • Assist with clerical duties including typing, photocopying, and maintaining office supplies to keep the workspace efficient. • Provide customer support by addressing inquiries, offering information about services, and ensuring client satisfaction through excellent service. Experience • Prior office experience or administrative support roles demonstrating strong organizational skills. • Proven customer service experience with excellent phone etiquette and interpersonal skills. • Familiarity with computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. • Experience with data entry, filing systems, proofreading documents, and managing calendars effectively. • Knowledge of front desk procedures in medical or dental settings is a plus, along with personal assistant or medical receptionist experience. • Ability to multitask efficiently while maintaining professionalism in a fast-paced environment. • Bilingual abilities are preferred to better serve diverse client needs.
