Department:   120 – Washington Headquarters Job Title:  Assistant to the Executive Director, Washington Headquarters Report To: Executive Director, Washington Headquarters Salary Grade:   ý – Grade 12  ($50,772.80 - $78,956.80/year) Type of position:  ý Full-time        o Part-time Minimum Hours: 40 Hrs. /Week ý Exempt           oNonexempt Job Summary: The following statements are intended to describe the general nature and level of work being performed. They are not intended to be construed as an exhaustive list of all responsibilities, duties and skills required of personnel so classified.   The Assistant to the Executive Director provides high-level administrative and operational support to the Executive Director and appointed staff. This role manages confidential and sensitive matters, coordinates key activities across the Washington Headquarters, and serves as a primary point of contact for internal and external stakeholders. Essential Functions: * Support the Executive Director in administering various operational, administrative, and fiscal functions for the Washington Headquarters. * Prepare and process invoices, expense vouchers, check requests, monthly credit card statements, reports, correspondence, meeting minutes, financial statements, and other documents. * Attend meetings to record, prepare, and distribute meeting minutes. * Manage scheduling for the Executive Director, including appointments, travel, and accommodations. * Serve as a primary contact by answering calls, providing information, directing inquiries, and taking messages. * Greet and engage with clients, visitors, and stakeholders on behalf of the Executive Director. * Prepare meeting agendas and coordinate logistics for meetings, conferences, and special events. * Perform general clerical duties including photocopying, mailing (U.S.P.S. and FedEx), filing, and records maintenance. * Manage office operations such as ordering supplies, maintaining records systems, and performing basic bookkeeping tasks. * Coordinate the DAV Night-Out program and associated logistics. * Oversee office services including records management, departmental finances, vendor relationships, parking access, security systems, and housekeeping. * Coordinate and manage the DAV condos in Washington, D.C., including maintenance and operational oversight. * Monitor and manage professional membership accounts and authorized billing. * Manage the distribution of event tickets and related logistics. * Coordinate maintenance projects and safety inspections within the National Service and Legislative Headquarters (NSLH) and DAV condos. * Travel up to 14 days per year. * Perform additional duties and projects as assigned by management. Essential Skills and Experience: * Minimum of 5 years of administrative support experience required. * High school diploma or equivalent required. * Type a minimum of 55 words per minute with accuracy. * Excellent written and verbal communication skills with a professional demeanor. * Exceptional attention to detail and organizational skills. * Strong interpersonal skills with the ability to build relationships at all levels. * Aptitude for numbers and basic financial processes. * High level of proficiency in Microsoft Office applications. * Demonstrated ability to maintain discretion and confidentiality. * Strong prioritization, time management, and multitasking skills. * Dependable, punctual, and capable of meeting tight deadlines. * Self-starter with the ability to work independently with minimal supervision. Degree of Supervision: * This position has no direct supervisory responsibilities but may provide mentorship, guidance, and informal leadership to up to four employees. Physical Demands and Work Environment:  The physical demands and work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. * Physical Demands:  Job requires sitting up to eight hours a day and standing four to six hours a day.  Body movement primarily in hand and arm functions associated with normal office activities.  Hand and eye coordination, and hand dexterity is required for handwriting and keyboarding over prolonged periods of time.  Specific vision abilities required by the job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.   This position requires occasional lifting and/or carrying of no more than 25 pounds, and bending, squatting, pushing, and pulling.   * Work Environment:  The noise level in the work environment is usually minimal.
