Now Hiring: Office Supervisor – Scheduling & Dispatcher (Janitorial & Facility Services) Location: Remote / Work From Home Job Type: Full-Time or Part-Time Schedule: Flexible Business Hours Join a fast-growing facility management company and take on a critical role in overseeing scheduling, dispatching, and office coordination for our janitorial and building service operations. As our Office Supervisor – Scheduling & Dispatcher, you will be at the center of workforce coordination, ensuring smooth daily operations, effective communication, and reliable service delivery to our clients across multiple locations. About the Role We are seeking a highly organized and detail-oriented Office Supervisor to lead scheduling, dispatching, and administrative support functions. This position requires excellent communication skills, the ability to manage multiple priorities, and the confidence to coordinate field staff and office operations. You’ll be the main point of contact for scheduling coverage, handling urgent staffing needs, and ensuring our frontline teams are supported. Key Responsibilities Scheduling & Dispatching • Create, manage, and adjust employee schedules across multiple client sites to ensure full coverage. • Dispatch employees to cover last-minute absences, client requests, or special projects. • Monitor and resolve scheduling conflicts quickly and efficiently. • Maintain communication with supervisors and field staff to confirm attendance and shift changes. Staff & Office Supervision • Support recruiting efforts by assisting with job postings, scheduling interviews, and coordinating new hire onboarding. • Track employee attendance, shift adherence, and incident reports. • Ensure employees have updated site assignments, work instructions, and compliance requirements. • Maintain positive communication with staff and reinforce accountability for performance and attendance. Administrative Operations • Maintain accurate and organized digital records of schedules, staff availability, and HR documentation. • Assist with payroll preparation by ensuring timesheets and attendance records are accurate. • Respond to employee and client inquiries related to staffing, coverage, and schedules. • Prepare reports for management on staffing levels, overtime, and coverage trends. • Coordinate travel, lodging, and resource allocation for supervisors and field staff when required. Qualifications • 2+ years of experience in scheduling, dispatching, or workforce coordination (janitorial/facility services industry experience preferred). • Strong organizational skills and ability to manage multiple priorities in a fast-paced environment. • Familiarity with payroll and HR systems (ADP, Gusto, or similar platforms preferred). • Prior supervisory or team-lead experience strongly preferred. • Excellent communication skills, both written and verbal. • Problem-solving mindset and ability to remain calm under pressure. • Comfortable with remote work tools (email, scheduling software, virtual meetings).
