Diamond Baseball Holdings (DBH) was formed in 2021 to support, promote, and enhance Minor League Baseball through professional management, best practices, innovation and investment. DBH is seeking a motivated Manager of Event Operations, Special Events to help support the company’s Special Events execution efforts, specifically with respect to Self-Produced & Touring Events. This is an opportunity for an experienced event professional to help shape the way DBH plans and manages Self-Produced & Touring Events across its portfolio. The role will report directly to the VP, Event Operations, Special Events. The ideal candidate is someone with prior experience working within sports, specifically in non-game events, with a focus on coordinating complex event logistics, working across multiple departments, and managing vendors to deliver high-quality event experiences. This role will play a key part in supporting event design implementation and operational planning to systematize events in all DBH venues. The candidate should be extremely calm under pressure and be able to make confident leadership decisions in those moments. This candidate will be responsible for quickly standing up self-produced and touring events and working directly with club representatives and promoters & producers to do so. DBH is a high-paced, results-orientated environment and is a company that will define the way the biggest events in sports and entertainment are operated in various markets. It is also expected that the candidate works to install better workflow processes as DBH continues to grow. Essential Duties and Responsibilities • Event Operations • Coordinate planning timelines and project trackers for designated tour stops and/or events. • In some instances serve as the day-to-day liaison with clubs to collect venue details, operational requirements, and market readiness updates. • Assist in managing communication between promoters, DBH leadership, and club staff to ensure alignment on event requirements. • Track tour logistics including load-in schedules, production needs, and operational milestones. • Support on-site execution when needed and help ensure events meet DBH operational standards. • Gather venue specifications, site maps, and operational constraints from clubs. • Coordinate technical requirements including production needs, equipment placement, and field protection plans. • Maintain documentation of promoter requirements and ensure they are communicated clearly to clubs. • Assist with planning calls and follow-ups to ensure alignment between promoters and clubs. • Track club compliance with event frameworks and operational guidelines. • Conduct event readiness reviews and assist clubs in resolving operational challenges. • Document lessons learned and recommend updates to event procedures and templates. • Support the Director in maintaining consistency and brand standards across all DBH events. • Research and identify potential vendors in each market for event assets (lighting, staging, rentals, activations, etc.). • Coordinate introductions between club event staff and vendors. • Collect and organize vendor proposals, pricing, insurance documentation, and service capabilities. • Maintain a centralized preferred vendor database for all DBH clubs. • Track vendor performance and update vendor lists based on event outcomes and feedback. • Assist clubs in sourcing vendors when events require local market support or additional assets. • Coordinate with DBH and club marketing teams to ensure landing pages, event listings, and promotional assets are launched on schedule. • Track progress on ad buys, social campaigns, and media outreach. • Assist with coordination of press releases, on-sale announcements, and influencer partnerships. • Ensure all marketing materials reflect accurate event details, ticketing information, and branding standards. • Assist in supporting departmental strategic initiatives and special projects that enhance event operations across DBH clubs. • Conduct venue program research, gathering insights on event concepts, industry trends, and best practices to support the development of new event opportunities and operational improvements. • Support the development and documentation of Standard Operating Procedures (SOPs) and operational guides to help standardize event planning and execution across DBH clubs. • Research and compile information on local business practices and market considerations to ensure events align with regional requirements and operational standards. • Prepare agendas, briefing materials, and talking points for monthly department and cross-functional meetings. • Assist in organizing meeting notes, tracking action items, and following up with internal teams to ensure projects and initiatives move forward efficiently. • Maintain documentation and reporting tools that support department planning, communication, and decision-making. • Work with VP and Director, Event Operations to serve as the go-to resource for all DBH teams regarding event operations, providing guidance, problem solving techniques, best practices, and support to ensure seamless execution. Qualifications • 3-5 years Special Events Experience • Experience in sports and Special Events is a must. • Must possess strong decision making and conflict resolution skills. • Professional demeanor and excellent verbal and written communication skills required. • Must be a creative, detail-oriented, “people person” who can work on multiple projects simultaneously. • Must be team-oriented, out-going, extremely motivated, and able to work independently. • Comfort around a variety of Special Events technology – including Slack, Event Management Programs (like Tripleseat), Layout programs (CVENT), CRM, Invoicing Programs, etc. as well as MS Office Software • Bachelor's degree required. • Role requires travel of up to 15% for meetings, site visits, and event support.
