Position Summary The Coordinator of Executive Operations plays a key role in supporting the Head of School’s office. This visible and trusted position delivers comprehensive administrative support to the Head of School, Assistant Head of School, and Chief Financial & Operations Officer. The Coordinator of Executive Operations is the vital link connecting school leadership, faculty, staff, parents, and the wider community. With a keen eye for detail and a proactive spirit, this role champions seamless communication, strategic scheduling, and reliable execution of every initiative. Success in this position requires outstanding organization, sound judgment, and the initiative to stay ahead in a dynamic, ever-evolving PK–12 school setting. The ideal candidate has experience supporting senior leadership, demonstrates professionalism, and excels in organizational and communication skills. This position manages sensitive information, balances competing demands, and ensures the Head of School, Assistant Head of School, and CFOO are well-prepared to focus on strategic priorities. This full-time role requires occasional evening and weekend availability, along with flexibility to adjust to changing schedules and priorities. Essential Responsibilities • Provide comprehensive administrative support to the Head of School, including calendar management, meeting coordination, and ensuring alignment with the master school calendar. • Support the Assistant Head of School and Chief Financial & Operations Officer with special projects and strategic initiatives. • Coordinate meetings, school events, and leadership engagements, ensuring thorough preparation, logistics, and follow-up. • Draft, edit, and manage communications on behalf of the Head of School, including sensitive correspondence related to recognition, appreciation, and stakeholder engagement. • Serve as the primary point of contact for the office, greeting and assisting visitors, parents, faculty, staff, and students with professionalism, warmth, and discretion. • Manage incoming inquiries, including phone calls, emails, and in-person requests, ensuring timely and appropriate responses or redirection. • Maintain a welcoming and organized front office environment that reflects the school’s values and mission. • Coordinate scheduling requests and appointments, ensuring seamless communication between leadership and all stakeholders. • Prepare, organize, and distribute materials for Board of Trustees meetings and support related events. • Handle sensitive information with discretion and confidentiality. • Oversee the school’s calendars and relevant sub-calendars, including annual input and regular updates. • Act as a Designated School Official (DSO) for SEVIS, supporting the school’s compliance with federal regulations for international students. • Perform other related duties as assigned by the Head of School, Assistant Head of School, or Chief Financial & Operations Officer. Qualifications • Associate’s degree is required; a Bachelor's degree is strongly preferred • 5+ years of experience providing administrative or executive support; school experience is a plus • Excellent verbal and written communication skills • Strong organizational skills with attention to detail and ability to multitask • Possesses time management skills with the ability to meet deadlines • Proficient in Microsoft Office, Google Workspace, or similar software with the ability to learn new or updated software • Ability to work independently or as part of a team • Professional demeanor and commitment to student-focused service Physical Requirements • Prolonged periods of sitting at a desk and working on a computer • Must be able to lift up to 15 pounds at times Work Environment • Normal Office environment Applying for the position Interested candidates should submit letter of interest, resume and references online at https://www.dcds.edu/about/careers
