POSITION OVERVIEW DEFTEC Corporation is seeking a Business Development & Proposal Associate to support corporate growth activities across our federal and defense portfolios. This individual will work directly with the CEO to coordinate and execute business development, capture, and proposal development efforts. The ideal candidate brings exceptional writing skills, strong organizational discipline, and the ability to translate complex government requirements into clear, compelling proposal content. This role serves as a critical force multiplier, enhancing pipeline visibility, improving proposal quality, and strengthening execution across the BD lifecycle. JOB RESPONSIBILITIES Pipeline & Capture Support: Maintain and update DEFTEC's BD pipeline, ensuring accuracy and timely status reporting. Conduct opportunity research across SAM.gov, FPDS, agency forecasts, and industry resources. Support capture planning by preparing agendas, action trackers, stakeholder summaries, and research briefs. Develop bid/no-bid materials, including risk assessments and requirement summaries. Proposal Development: Draft, edit, and format proposal content, including technical, management, staffing, quality, transition, resumes, and corporate experience sections. Create and maintain compliance matrices, outlines, writing plans, and proposal schedules. Coordinate internal and external proposal reviews, ensuring version control and on-time submission. Maintain corporate proposal templates, content libraries, graphics, and boilerplate. Assist in the compilation of detailed cost narratives for FFP, T&M, CPFF and IDIQ opportunities, ensuring compliance with FAR, DFARS, and company policies Coordinate with internal stakeholders to assist with adequate subcontractor price analysis achieved in accordance with FAR Part 15 (Cost/Price Analysis), FAR 31 (Cost Principles), and Truthful Cost or Pricing Data requirements where applicable Assist in ensuring proposal submissions meet internal review and approval requirements, and are compliant with solicitation instructions. Business Development Coordination: Work directly with the CEO to capture meeting notes, convert discussions into actionable tasks, and prepare briefing materials. Support subcontractor teaming activities, including NDAs, TEAs, partner coordination, and data gathering. Prepare executive-level presentations, summaries, market assessments, and competitor profiles. Research & Analysis: Analyze FPDS records, incumbent research, and competitor capabilities to support capture strategy. Conduct unclassified pricing research (labor categories, WD mapping, market salary data). Track and document key trends across targeted agencies and contract vehicles. Proposal-Linked Recruiting & Requisition Management Open, track, and manage job requisitions associated with proposal efforts, ensuring alignment with staffing matrices and PWS requirements. Coordinate with Recruiting and HR to provide qualification requirements, timelines, clearance needs, and labor category mappings. Maintain real-time awareness of candidate pipelines for key personnel and other proposal positions. SharePoint & Document Management Maintain DEFTEC's Business Development SharePoint site structure, including folders, permissions, templates, and version control. Ensure all capture and proposal documents are stored in the correct locations with consistent naming conventions and metadata. Develop simple, repeatable file structures for proposals, pipelines, and capture efforts to support long-term BD organization. Manage archival of completed proposals and maintain searchable past performance and content libraries. Post-Award Transition Support Support contract transition activities by preparing onboarding trackers, coordinating kickoff meeting materials, and gathering documentation required for new contract stand-up. Assist the CEO, Program Manager, and Recruiting in aligning awarded staffing plans with real candidate pipelines. Help coordinate initial stakeholder communication, SharePoint setup for new programs, and transition-related deliverables. Track early contract milestones and ensure early deliverables (transition plan, QA plan, staffing plan, etc.) are routed, reviewed, and submitted on time. QUALIFICATIONS Required Qualifications: Bachelor's degree 2–5 years of experience in business development, proposal writing, capture support, or government contracting. Strong writing and editing skills with the ability to synthesize complex requirements. Familiarity with federal RFPs, PWS/SOW structures, and proposal development processes. High level of organization and attention to detail; ability to manage multiple deadlines. Proficiency in Microsoft Word, PowerPoint, and Excel, including advanced formatting skills. Ability to work effectively with executives, SMEs, and teaming partners. Preferred Qualifications: Experience supporting DoD, DHS, FBI, Space Force, or Intelligence Community programs. Experience working in or with small businesses in the government contracting market. Experience creating proposal graphics and formatting complex documents. Ability to obtain a Public Trust or Secret clearance; active clearance is a plus.
