We operate a high-volume Shopify storefront and rely on accurate, timely financial and operational processes to deliver a great customer experience. We’re looking for a highly organized, tech-savvy Executive Assistant to support leadership while owning key order, invoicing, and administrative workflows.Role Summary The Executive Assistant (Operations & Finance Support) is a trusted partner to our leadership team and a critical link between sales, fulfillment, and accounting. This role manages Shopify order-to-invoice workflows, supports QuickBooks invoicing and receivables/payables, and handles day-to-day executive and customer-facing administrative tasks. You’ll help keep the business running smoothly through precision data entry, proactive follow-through, and excellent communication. Key Responsibilities: Shopify Order & Invoice Processing (Primary) • Enter and verify Shopify order invoices accurately and on schedule. • Review orders for completeness, pricing accuracy, tax/shipping correctness, and discounts. • Resolve order discrepancies (duplicate orders, address issues, missing payment, incorrect SKUs). • Coordinate with fulfillment/warehouse teams to ensure orders match shipping and inventory records. • Maintain clean order notes and customer records in Shopify and related systems. QuickBooks Invoicing & Receivables (A/R) • Create and send invoices in QuickBooks based on Shopify orders, wholesale/P.O. orders, and special billing requests. • Apply payments, track aging receivables, and follow up on overdue accounts with professional persistence. • Reconcile Shopify payments vs. QuickBooks records; flag inconsistencies. • Prepare weekly A/R reports for leadership (aging, collections status, exceptions). Payables & Expense Support (A/P) • Receive, code, and enter vendor bills into QuickBooks. • Match bills to purchase orders/receipts where applicable. • Track due dates, prepare payment runs, and maintain vendor communication. • Support expense tracking, reimbursements, and light monthly close tasks. Customer Relations & Support Coordination • Serve as a friendly, reliable contact for customers via email/phone/chat. • Respond to basic order, invoice, and shipping inquiries; escalate complex issues. • Coordinate replacements, refunds, or credits per company policies. • Maintain customer satisfaction through clear, timely updates. Executive & Administrative Support • Manage calendars, meetings, travel, and scheduling for executives as needed. • Draft emails, memos, customer notices, and internal communications. • Maintain digital filing systems, SOPs, and shared documentation. • Assist with special projects, reporting, and cross-team coordination. Required Skills & Qualifications • 3+ years of experience as an Executive Assistant, Operations Assistant, or Administrative/Accounting Support role in a fast-paced environment. • Hands-on experience with Shopify (orders, invoices, customer data). • Hands-on experience with QuickBooks Online (invoicing, AR/AP, reporting). • Strong attention to detail with high accuracy in data entry and financial records. • Excellent written and verbal communication skills; confident with customer-facing interactions. • Highly organized; able to manage multiple workflows and deadlines without dropping the ball. • Comfortable with Google Workspace / Microsoft Office, spreadsheets, and cloud filing. • Proven ability to handle sensitive information with discretion and professionalism. Preferred Qualifications • Experience in e-commerce, retail, wholesale, or manufacturing environments. • Familiarity with payment gateways (Shopify Payments, QuickBooks,etc.). • Experience supporting month-end close, inventory reconciliation, or light bookkeeping. • Knowledge of customer service platforms (Gorgias, Zendesk, Freshdesk, etc.). • Process-improvement mindset; able to create or refine SOPs. Success Metrics (What “Great” Looks Like) • 99%+ accuracy in Shopify-to-QuickBooks invoice entry. • Invoices sent within agreed SLAs (e.g., same day/next day). • Receivables kept current; overdue accounts followed up weekly. • Vendor bills entered on time with minimal corrections. • Customers receive prompt responses and clear resolution paths. • Executives feel ahead of schedule, not behind it.
