Be the right hand to the founder of a fast-growing digital marketing agency. We’re looking for a proactive, self-driven, and highly organized operations leader who can manage multiple remote team members, keep projects on track, and deliver an exceptional client experience. This role works directly with the CEO and leadership team to ensure smooth operations, accountability, and results. This is a high-trust, high-impact role perfect for someone who thrives on structure, knows how to keep strong personalities (especially salespeople) on task, and can handle the details that make a business run. You’ll Be Responsible For... -Managing multiple remote team members across sales, marketing, and operations. -Supporting the CEO and leadership team with daily operations and strategic priorities. -Tracking deliverables, deadlines, and client tasks using task management systems (Asana, ClickUp, Jira, Monday, etc.). -Coordinating client onboarding, invoicing, payment processing, and technician assignments. -Handling QuickBooks entries, invoicing, and client billing processes. -Maintaining and managing data across CRM platforms (GoHighLevel, Zoho, HubSpot, or similar). -Holding sales team members accountable and ensuring communication flows smoothly. -Maintaining internal systems: SOPs, calendars, workflows, and documentation. -Following up on outstanding tasks, files, payments, and client needs. -Delivering outstanding customer support and a “white-glove” experience to business owners and CEOs. You’ll Thrive in This Role If You... • Are naturally organized, proactive, and excellent at managing multiple priorities. • Have proven experience with task/project management tools (Asana, ClickUp, Jira, Monday). • Are proficient in QuickBooks (or similar accounting software) for invoicing and payment tracking. • Have hands-on experience with CRM systems and managing client data. • Possess strong skills in MS Office (Excel, Word, Outlook) and Google Workspace (Docs, Sheets, Drive, Calendar). • Are confident working with demanding personalities, especially in sales environments. • Communicate clearly and professionally (both written and verbal). • Learn tools quickly and thrive without constant direction.
