This role is central to ensuring the smooth operation of our client service and office systems. The ideal candidate enjoys building order behind the scenes, managing details with precision, and supporting a high-quality client experience. You will play an important role in coordinating client account activity, maintaining accurate records, and keeping the office’s operational systems running efficiently. This position is well suited for someone who takes pride in reliability, follow-through, and creating structure within a professional environment. Key Responsibilities Client Account Operations • Coordinate and process client paperwork and documentation • Submit trade tickets and assist with transaction processing • Coordinate client fund distributions and transfers • Ensure client account information is accurate and up to date (beneficiaries, documentation, data, etc.) • Track outstanding client service items and ensure timely follow-up Client Service Support • Assist with scheduling meetings and managing calendar coordination • Help maintain a smooth and professional client experience • Prepare and organize documentation needed for client interactions Office & Operations Management • Maintain organized client records and filing systems • Oversee internal operational workflows and ensure processes run smoothly • Support development and maintenance of internal systems and procedures • Provide general administrative support to ensure efficient office operations Qualifications • Strong computer proficiency and comfort with general office systems • Experience with Microsoft Outlook and Microsoft Office • Exceptional attention to detail and commitment to accuracy • Strong organizational and time management skills • Ability to manage multiple tasks and follow-through on open items • Professional, clear, and personable communication style • Ability to work independently in a small office environment Preferred • Experience with Wealthscape (Fidelity platform) or other financial industry systems A note on the role This is a position where the right person can make a meaningful impact on how our office runs day-to-day.
