Job Type Full-time Description Position Summary The Program Coordinator supports the planning and execution of CORE programming, transportation, purchasing, and events. This position helps streamline programming logistics to ensure the success of CORE's afterschool program, enrichment activities, and Scholar events. The Program Coordinator works closely with the Program Director, site staff, and team members across departments to ensure events and programming are well attended, organized, and equitably accessible for all Scholars. Requirements Description of Position Under the direction of the Program Director, the Program Coordinator: • Event Planning & Coordination • Assists in coordinating CORE events, enrichment opportunities, and community service activities (e.g., MLK Day of Service, Day of Caring, Holiday Express, orientations, end-of-year celebrations, and workshops). • Supports collaboration with internal teams and external partners to identify and align event objectives, roles, and responsibilities. • Helps manage event logistics and communicates updates and changes to all relevant audiences. • Serves as a point of contact with enrichment and community service partners, vendors, exhibitors, and other event participants. • Assists in developing and maintaining detailed event plans/summaries with site staff to maximize experiences for all involved parties. • Programming & Calendar Management • Helps develop and maintain weekly/monthly programming calendars, including events, transportation, and material needs. • Prepares documentation and tracks events, enrichment activities, and Scholar involvement in the CRM system to fulfill reporting requirements • Conducts regular site visits to support program vitality and ensure programming needs are met. • Transportation & Logistics • Coordinates transportation for afterschool programming, community service, and outside events. • Assesses transportation methods, routing, and vendors to meet specifications and costs. • Manages procurement logistics to ensure smooth event and programming operations. • Purchasing & Inventory • Coordinates the purchasing and procurement of supplies, snacks, equipment, and materials for Scholar programming and events. • Assists in collaborating with the Grants Department to ensure funds are appropriately spent within timelines and parameters. • Prepares monthly expense reports and helps the Program teams track site budgets. • Tracks the use of supplies, snacks, and beverages, auditing consumption to ensure fiscal responsibility. • Audits the inventory of CORE office supplies, classroom furniture, programming equipment, and storage unit contents. • Team Support & Communication • Supports the facilitation of program meetings and team huddles, including preparing the location and agenda, and following up on post-meeting needs. • Assists site teams in maintaining the cleanliness and functionality of programming workspaces. • Maintains regular updates through shared calendars, agendas, and email communications to ensure teams have the information needed for efficient program operations and Scholar engagement. • Performs other duties as assigned to ensure the effectiveness of CORE programming.
