Job Title: Administrative Assistant IV (421) Reports to: Assistant Office Manager Level: Entry (This will vary for current staff) Salary: $57,811 Grade/Step: 14E Location: 2650 S. California/Leighton Courthouse Bureau: Administrative Services Division/Unit: Steno Application deadline: December 1, 2025 Primary Function: Provide administrative support for Assistant State’s Attorneys assigned to the Felony Trial Division. Working Environment: Hours: Monday – Friday 8:30 a.m. to 4:30 p.m. Physical Requirements: Light Work: The position requires the ability to stand or walk frequently, often for extended periods. You may need to lift, carry, push, or pull objects weighing up to 20 pounds regularly, and occasionally heavier items. The job may also involve a significant amount of walking or standing relative to sedentary roles. Duties and Responsibilities: • Prepare subpoenas, motions, answers and other correspondence as required. • Proofread and sort documents. • Enter and update case information in CRIMES database. • Date stamp documents. • File all necessary paperwork. • Answer phones, copy and fax documents. • File and box disposition files for the Warehouse. • Interacts with State’s Attorney’s Office employees and personnel of outside agencies. • Maintain confidentiality of information and systems. • Relieve receptionist as needed. • Perform additional duties and responsibilities as assigned. Qualifications: Required: • The candidate must have excellent verbal and written communication skills, excellent organizational skills, and the ability to multi-task. • The candidate must be able to manage a high-volume caseload daily. • The candidate must be able to work in a fast-paced environment. • Knowledge of Microsoft Word applications. Preferred: • Clerks, SharePoint, and CRIMES computer experience. • Typing speed of 50+wpm.
