Position: Data/Administrative Assistant Start Date: January 5, 2026 Salary: $20.00/hour Schedule: • In-Person: Monday–Thursday, 1:00 PM – 6:00 PM Overview The Office of Continuing and Professional Studies at The City College of New York seeks a Part-time Data/Administrative Assistant for its WIOA grant-funded Adult Education Program, which serves a diverse student population enrolled in English as a Second Language (ESL) and High School Equivalency (GED) classes. We are seeking an energetic, motivated, and self-reflective professional who can work with little monitoring. The Data/Administrative Assistant is responsible for establishing and maintaining complete and accurate records, documentation, and other evidence related to performance. Generate, review, and correct all data-checking reports available in the Adult Student Information System and Technical Support (ASISTS) management information system. Responsibilities • Set up and maintain Program Information Forms (PIF) in ASISTS, ensuring accurate and complete data. • Generate and analyze ASISTS reports to track program performance and outcomes. • Ensure compliance with all data management procedures. • Maintain complete, accurate, and secure student and participant records. • Record and report key demographic and service data for all participants and reportable individuals. • Generate, review, and correct all data reports in the ASISTS Management Information System. • Conduct employment surveys for program alumni to evaluate program impact. • Review reports with data administrators or supervisors to ensure accuracy and compliance. • Monitor program data and provide timely weekly updates to management. • Assist in the preparation of data for annual progress reports and grant renewal documents, including quarterly and year-end data reports required by government agencies and other funding sources. • Support the department during enrollment periods by assisting with student intake and ensuring a smooth onboarding process. • Attend internal team meetings and external partner meetings. • Complete 14 hours of professional development through the Regional Adult Education Network (RAEN). • Perform additional office duties as needed.
