Job Title: Purchasing Manager Location: Crestwood, IL Reports To: Plant Director Job Overview: The Purchasing Manager is responsible for managing the procurement of raw materials, packaging, and other supplies necessary for the production process at a food production facility. This role ensures that all purchasing activities are conducted efficiently and cost-effectively, meeting quality standards and production timelines. The Purchasing Manager will collaborate closely with the production, quality, and logistics teams to maintain optimal inventory levels, manage supplier relationships, and ensure compliance with food safety standards. Key Responsibilities: • Develop and implement a purchasing strategy to maintain cost efficiency, consistent quality, and timely supply of materials. • Forecast purchasing needs based on production schedules and historical data. • Conduct cost analysis and negotiate terms and pricing with suppliers. Supplier Management: • Identify, evaluate, and establish relationships with new suppliers to meet quality, cost, and delivery requirements. • Maintain strong relationships with existing suppliers and negotiate long-term contracts. • Ensure that suppliers meet food safety, regulatory, and company standards, conducting audits as necessary. Inventory Management: • Monitor inventory levels of raw materials, ingredients, and packaging to ensure adequate supply without overstocking. • Collaborate with production and warehousing teams to manage inventory flow and reduce waste. • Analyze inventory data to forecast needs and adjust purchasing decisions accordingly. Quality Control and Compliance: • Ensure that all purchased materials comply with food safety regulations and quality standards. • Work closely with the Quality Assurance team to monitor supplier quality performance. • Address and resolve any quality issues with suppliers, implementing corrective actions as needed. Cost Management: • Develop and manage the purchasing budget, working to minimize expenses while maintaining high standards. • Track market trends and price fluctuations to make informed purchasing decisions. • Implement cost-saving initiatives to reduce waste, optimize order sizes, and increase overall efficiency. Team Collaboration: • Work closely with the production, quality, logistics, and finance departments to coordinate procurement activities. • Communicate updates on delivery schedules, inventory levels, and any supply issues. • Provide reports and analysis on purchasing activities, supplier performance, and cost savings. Record Keeping and Reporting: • Maintain accurate records of all purchasing transactions, supplier contracts, and compliance documentation. • Prepare regular reports on purchasing performance, inventory levels, and budget adherence. • Use ERP and other software tools to manage and track purchasing activities. Qualifications: • Bachelor’s degree in Supply Chain Management, Business Administration, or related field preferred • Minimum of 5 years of experience in procurement or purchasing, within the food production industry REQUIRED • Strong negotiation and supplier relationship management skills. • In-depth understanding of food safety regulations and quality standards. • Proficiency in ERP systems, MS Office, and purchasing software. • Excellent analytical, organizational, and communication skills. • Ability to work collaboratively with cross-functional teams. Key Competencies: • Decision-Making: Ability to make informed purchasing decisions that balance cost with quality and operational needs. • Problem Solving: Skilled at resolving supply issues quickly to avoid disruptions in production. • Attention to Detail: Ensures accuracy in all purchasing activities and compliance with regulations. • Time Management: Effectively manages multiple purchasing projects and supplier contracts. Physical Demands: • Schedule: Stamina to work a minimum of 50 hours per week • Mobility: Walking, standing, bending, stooping, kneeling, reaching (including overhead and below waist). • Lifting: Occasionally lifting and moving up to 50 lbs, requiring proper technique. • Dexterity: Using hands for computer, paperwork, and handling samples (fingering, grasping, feeling). • Hearing: To communicate and be aware of warehouse sounds/hazards. • Vision: Close, peripheral, depth perception, color vision, and ability to adjust focus for product quality and safety. Environmental Factors: • Office: Sitting for extended periods, operating computers. • Warehouse: Exposure to hot/cold temperatures, navigating forklift traffic, stacked products.
