A fast-paced, growth-oriented professional services firm is seeking a proactive Executive/Personal Assistant to support the firm’s CEO. If you excel at organizing moving pieces, managing calendars and inboxes, and turning meeting notes into action and results, this role is for you. Occasional support around events, travel, and light personal admin and errands included. What You’ll Do • Executive support: Manage calendar/inbox, draft and send emails, prepare daily briefs, and protect time around priorities. Ensure that no one is left on "read." • Follow-through & tracking: Convert meeting notes into to-dos, track owners/deadlines, and close loops with clear updates. • Project/event coordination: Maintain trackers (speakers/sponsors/vendors/contacts), request missing info, assemble day-of checklists and materials. • Information management: Keep shared drives tidy; maintain spreadsheets and simple CRM lists; organize submissions and assets. • Research & prep: Build concise dossiers on people/organizations; research vendors and contacts; compile leads. • Personal admin (light): Occasional personal scheduling, reservations, shipments, errands and similar logistics to keep the executive focused. What You Bring • 2+ years in an EA/PA, admin, project coordinator, or operations role. • Excellent written communication and email etiquette; strong judgment and discretion. • Calendar mastery (Google or Outlook), meeting prep, and travel coordination experience. • High attention to detail, strong organizational habits, and a bias for action. • Comfort with Google Workspace (Docs/Sheets/Drive/Calendar); quick to learn new tools. • Thrives in a dynamic environment; calm and solutions-oriented under deadline. Nice-to-Haves (Not Required) • Experience supporting events, conferences, or client-facing projects. • Familiarity with basic website/content tools (e.g., WordPress) or email platforms (e.g., Constant Contact). • Experience in board meetings, understanding of meeting protocol/Robert's Rules and working with volunteer board and committee members.
