PART-TIME BOOKKEEPER/OFFICE MANAGER Hours: Approximately ≈20 hours per week with flexible scheduling We are seeking a Part-Time Bookkeeper/Office Manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment while ensuring high levels of organizational effectiveness, communication, and safety. The ideal candidate will have experience with office software (email tools, spreadsheets, and databases) and be able to accurately handle administrative duties. Ultimately, the Office Manager should ensure the smooth running of our organization, ensure adherence to company policy, and improve day-to-day operations. Key Responsibilities Office Administration: • Organize office layout and procedures • Arrange meetings and coordinate site visits • Manage office reception: answer phones, forward calls, check messages, distribute mail, and greet visitors • Handle general formatting, printing, and copying of administrative documents • Maintain and review insurance policies, service contracts, and other agreements • Create and update records ensuring accuracy and validity of information • Maintain digital and physical files • Schedule appointments and maintain contact information • Monitor supply levels for office and project sites • Resolve office-related issues and respond to requests • Coordinate with staff to ensure compliance with established policies • Maintain positive relationships with suppliers, customers, and colleagues Accounts Receivable: • Client setup and account maintenance • Compile invoices using task/job costing and percentage complete practices • Assemble and input estimates using current and historical data • Process incoming payments via mail, ACH, and credit card • Ensure timely collection of accounts receivable Accounts Payable: • Vendor setup and account maintenance • Provide purchase orders to vendors and employees • Process incoming invoices and print checks • Handle vendor inquiries • Manage employee credit card accounts and vendor 1099 disbursements Financial Management: • Prepare monthly, quarterly, and annual financial reports • Handle tax documents (Franchise Tax calculations, Sales/Use Tax) • Maintain Fixed Asset and depreciation schedules • Perform month-end and year-end closure of accounting software • Prepare general ledger entries and maintain Chart of Accounts • Reconcile accounts and bank statements • Update trial balance and manage profit-loss statements and balance sheets • Administer payroll in partnership with payroll company • Maintain financials in accounting software (e.g., QuickBooks) Property Management: • Handle resident onboarding and move-in processes • Respond to resident inquiries and requests in a timely manner • Manage resident accounting, including rent collection and payment processing • Track invoices and payments • Use property management and construction management software systems • Work with third parties and banks to maintain required financial statements and records Required Skills & Qualifications • Proven experience as an office manager, office assistant, or in another relevant administrative role • Proficiency with QuickBooks and/or other accounting software • Experience with property management software such as Buildium or AppFolio, or willingness to learn these systems • Computer skills including MS Office (Word, Excel, Outlook) • Basic knowledge of financial documents (budgets, balance sheets, P&L statements) • Excellent organizational and time management skills • Strong analytical abilities and problem-solving skills • Excellent written and verbal communication skills • Ability to manage multiple priorities while maintaining accuracy and quality • Proven ability to make complex and time-sensitive decisions • Ability to work independently and as part of a team • Strong record-keeping skills • Experience collaborating effectively with others, both internally and externally Preferred Qualifications • Website support experience • Knowledge of professional office best practices • Familiarity with office equipment (computers, printers, scanners, etc.) Compensation & Work Arrangement Compensation is commensurate with experience. This is primarily an office-based (in-person) position. For exceptional candidates, partial work-from-home arrangements may be considered.
