Bachelor's degree or equivalent experience, minimum 2 years project or administrative experience, strong communication and organizational skills, familiarity with associations or nonprofits, and project management capabilities.
Reports to: Senior Operations Manager (SOM) Location: Remote or Hybrid in Dallas, TX Job Type: Regular, Full-time, Exempt Summary of Position: The Junior Operations Manager (JOM) manages one or more client associations (society/council) with support and coaching from a Senior Operations Manager (SOM). The JOM is responsible for carrying out the core operational calendar of their assigned association(s), acting as a primary client contact, and delivering day-to-day administrative and logistical support with attention to deadlines and quality standards. Additionally, the JOM will provide their pod’s client portfolio with project and task support at the request of their SOM. Performance Evaluation: Formal evaluations will be conducted in six-month intervals by the SOM to assess job performance. Responsibilities and Duties: • Manage the annual operational calendar for assigned association client(s). • Serve as the operational and administrative point of contact for client leadership, board members, and volunteers. • Schedule and support executive and board meetings, including preparation of agendas, minutes, and follow-ups. • Plan and execute client and internal meetings; including scheduling, logistics, documentation, and hosting. • Coordinate and execute recurring deliverables such as elections, awards, rosters, and committee logistics. • Coordinate communications and marketing logistics with external or internal stakeholders. • Collaborate with internal service teams (accounting, conference, publications, web, marketing) on client needs. • Maintain and update records across multiple client platforms, including websites. • Maintain documentation and institutional knowledge for client records. • Maintain a thorough understanding of association governing documents (i.e., Constitution, Bylaws, Strategic Plans, Operating Manuals). • Monitor and track project timelines, providing regular updates to the client. • Assist as secondary support for client tasks within the pod’s portfolio. • Other duties as assigned. Required Experience, Skills, and Education: • Bachelor's degree in business administration, management, communications, or related field. Or relevant combination of education and experience. • Minimum of two years of experience in administration or project-based work. • Strong communication, organization, and client-facing skills. • Strong project management skills, with the ability to manage multiple tasks and deadlines. • Demonstrated problem-solving ability and resourcefulness. • Familiarity with professional associations or nonprofit organizations. Desired Experience, Skills, and Education: • Experience working with professional associations or nonprofit organizations. • Familiarity with managing membership systems, election tools, or board governance. • Possess a working knowledge of Robert’s Rules of Order. • Certification in project management (e.g., PMP, CAPM). Travel Requirements: • Travel for this position will be around 6 times per year, for a length of roughly 4-6 days each time. • Estimated travel between 5-15%. • Travel may be inclusive of annual company retreats, department retreats, client meetings, etc. as needed. • Domestic and international travel is required. Must have, or have the ability to acquire, a passport. Physical Requirements: • Prolonged periods of sitting at a desk and working on a computer. • Must be able to lift up to 15 pounds at times. • Must be capable of traveling on long-haul flights.
