Complete College America’s headquarters is in Indianapolis, Indiana. A highly functioning and self-driven selected candidate will have potential for remote work; however, periodic in-office meetings and travel are required. Although this position is primarily remote, the successful candidate is required to work in the Indianapolis office two days per week; thus, must reside in the Indianapolis, IN area. Position Summary: Reporting directly to the Vice President for Institutional Transformation and Scaling, CCA is seeking a dynamic, talented, and energetic Administrative Coordinator to support the strategic and programmatic efforts that facilitate CCA’s work with our institutional transformation initiatives and across CCA’s Alliance Network. The successful candidate must demonstrate adeptness at seeking knowledge, leading with innovation and integrity, advancing diversity and inclusion, engaging locally and globally, and embracing the responsible stewardship of resources. The Administrative Coordinator will serve as the lead on matters pertaining to scheduling meetings, coordinating activities associated with various projects, supporting knowledge management efforts including documenting meetings and processes, and providing administrative support for the VP for Institutional Transformation and Scaling. The ideal candidate will have experience with managing multiple projects and tasks simultaneously, utilization of tools supporting project management, as well as strong organization and time management skills. The Administrative Coordinator will coordinate and support event planning and logistics for CCA sponsored events. These responsibilities may include securing bids for facilities, securing contracts, serving as the liaison with vendors, and coordinating receivables and expenditures. Additionally, the Administrative Coordinator will engage in cross-functional activities within Complete College America to support the advancement of CCA’s strategic and programmatic priorities. The Administrative Coordinator will support the implementation of work plans to ensure efficient timely execution of activities across the organization aligned with CCA’s strategic priorities and project deliverables. The Administrative Coordinator will also prepare and present updates regularly across the organization. Essential Responsibilities Intermediaries for Scale (Accelerator Project)/Institutional Transformation Support Manage the calendar for all Accelerator activities including correspondence with the institutions and partners Manage the invoicing and reimbursement process for Accelerator activities Maintain records related to contracts related to Accelerator projects (including Memoranda of Understanding, Data Sharing Agreements, technical assistance and professional development activities, etc.) Compile institutional documents (e.g. strategic plans, retention plans, etc.) to build profiles for the 100 participating institutions Provide support for webinars, podcasts, and programmatic activities which may include creating registration links, monitoring attendance, documenting activities, supporting event follow up and evaluation Maintain the project tracker documenting contacts and activities across the project Support the reporting requirements for grant deliverables Provide support for the institutional cohorts in CCA University General Project Support Monitor institutional team progress Assist in monitoring resources to maximize deliverables across projects Collaborate with other internal CCA teams to identify opportunities for partnership Identify various tools to ensure consistency and efficiency in organization Generate status reports on projects occurring across the Alliance Engagement and Institutional Transformation areas Support knowledge management structures, processes, and activities Support the Communications Director in the distribution of communication materials related to projects Performs other duties as assigned Required Education and Experience High School Diploma or equivalent Two or more years administrative support experience Strong attention to deadlines and budgetary guidelines Proven success working with all levels of management Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail Ability to work independently and with professional discretion Proficiency in Microsoft Office including MS EXCEL, Outlook, Planner, PowerPoint Teams, and Word Proficiency with and/or ability to learn new software such as Calendly, Adobe, and project management software Proficiency in remote meeting software including Zoom and Microsoft Teams Excellent writing, editing, grammatical, organizational, and research skills Ability to conduct research and present data in a succinct and well-written manner Preferred Skills & Qualifications Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, and external partners. Ability to work with a broad range of constituents/partners demonstrating proficiency in cultural-competency, cultural sensitivity and an unwavering commitment to diversity, equity, and inclusion—personally and professionally. Excellent organizational management, time-management, and problem-solving skills. Working Conditions/Other Data Due to the confidentiality of the work, the functions of this position should be performed in a private workspace. Occasional travel will be involved. Salary and Benefits The salary range for this position is 45-55K and is commensurate with qualifications and experience.
