Description: Position Overview The RFP Coordinator / Communications & Digital Marketing Specialist manages the full lifecycle of proposal development while serving as the central gatekeeper for NG911 product messaging, thought leadership, and content consistency across proposals and marketing materials. This role works in close coordination with the product team to ensure that the messaging is on point with product capabilities, functionality, and alignment with the product roadmap. They will also coordinate with the Brand manager and marketing team to ensure all external-facing content aligns with established brand standards, messaging strategy, and organizational priorities. The position requires a highly organized professional who can manage complex proposal efforts, act as a content gatekeeper, and execute digital marketing activities while collaborating effectively across teams. This is a remote position with the desired location in the Eastern Time Zone. Primary Responsibilities 1. RFP & Proposal Coordination (Primary Responsibility) • Identify and track RFP opportunities aligned with NGCS capabilities. • Analyze RFP requirements and develop: o Compliance matrices o Proposal schedules o Internal and external task assignments • Coordinate proposal development by: o Assigning sections to contributors o Tracking progress and enforcing deadlines o Managing updates and clarifications • Actively “herd the cats” to keep contributors aligned and accountable. • Compile, format, and integrate all proposal content into required templates. • Coordinate proposal review meetings and incorporate feedback. • Ensure final proposals are compliant, polished, and submitted on time. • Coordinate with the brand manager to ensure proposal visuals, tone, and formatting align with approved brand standards. • Maintain proposal templates, content libraries, and archives in collaboration with the marketing team. 2. Communications & Content Governance (Gatekeeper Role) The Communications function serves as the gatekeeper of NGCS NG911 messaging and thought leadership, working in partnership with senior leadership, the product team and the brand manager to ensure consistency and accuracy. • Own and manage NG911 product messaging, positioning, and value propositions. • Review, edit, and approve proposal and marketing content to ensure: o Accurate representation of NG911 capabilities and standards o Consistent terminology and messaging o Alignment with approved brand voice and strategy • Collaborate closely with internal teams to: o Align messaging with brand guidelines o Incorporate brand updates into proposal and marketing content o Resolve messaging or positioning conflicts • Maintain and evolve core content assets, including: o Boilerplate language o Capability statements o Product and solution descriptions o Past performance narratives • Coordinate NG911 thought leadership content, working with: o Subject matter experts for technical accuracy o brand manager for tone, positioning, and presentation • Ensure proposal learnings and market feedback are communicated back to the brand manager and team to inform future messaging. 3. Digital Marketing Execution (Execution-Focused, Brand-Aligned) Digital marketing responsibilities focus on execution and performance while adhering to approved messaging and brand direction. • Manage and update the company website using approved messaging and brand guidelines, in coordination with the brand manager. • Draft, schedule, and publish social media content aligned with: o Approved messaging o Brand voice and visual standards o Thought leadership priorities • Coordinate digital campaigns supporting: o Thought leadership distribution o Proposal wins and announcements o Events and company initiatives • Work with the brand manager and marketing team to ensure: o Visual assets meet brand standards o Messaging remains consistent across channels • Monitor website and social media analytics and share performance insights with the marketing team. • Recommend content and channel optimizations based on engagement trends. Collaboration & Cross-Functional Coordination (Explicit Expectation) • Work in close partnership with the brand manager to ensure alignment between messaging, brand standards, and execution. • Coordinate regularly with the marketing team to align proposal efforts, communications priorities, and digital campaigns. • Collaborate with business development, leadership, and technical SMEs to translate complex NG911 concepts into clear, compelling content. • Serve as a bridge between proposal development and marketing to ensure consistency across all external-facing materials. Requirements: Required • Experience coordinating proposals or RFP responses. • Strong project management and organizational skills. • Excellent writing, editing, and content review abilities. • Ability to enforce messaging discipline while collaborating cross-functionally. • Experience managing websites and social media platforms. Preferred • Experience in NG911, public safety, government, or technical environments. • Familiarity with proposal best practices and review processes. • Experience with CMS platforms (e.g., WordPress). • Basic knowledge of digital analytics tools. • Familiarity with design tools (Canva, Adobe). • Experience with proposal management solutions (e.g., Loopio, Respond) • Bachelor’s degree in in Strategic Communication, Public Relations, Marketing, Communications, or English or relevant experience preferred
