Job Details Job Location: FL Corporate Support - Tampa, FL Position Type: Practice Support Salary Range: Undisclosed Description Job Purpose: This role provides facilities support for over 100 dental offices, a corporate support office, and a warehouse. The primary responsibility of this role is to administer the Trouble Ticket system for dental facilities buildings and equipment maintenance and repair and maintain the corporate suites facility needs. This role will also manage the registration and renewals of radiation emitting devices (x-rays), lease review for responsibility of work, physical key access program along with small hands-on facilities tasks. Duties and Responsibilities: Trouble Ticket System: Monitors, prioritizes, coordinates and dispatches necessary personnel and/or vendors required to address facility/property and equipment day-to-day issues for a network of over 100 business locations. Ensures issues are resolved in a timely manner and follows up on critical issues that could impact the operations of the business locations. Research, secure, and manage third-party contracted vendors for various office maintenance and repairs and verify completion of work performed by third-party contracted vendors and approve invoices for payment. Review active lease agreements of Intelident’s properties and determine the burden of responsibility of landlords for any property repairs while working as the liaison between Intelident’s properties and landlords to resolve any property management matters that sees them through to completion. X-Ray Registration: Administers and ensures that the company’s x-ray registrations and renewals are current with the Department of Health. Maintains registration tracking and coordinates with compliance department, business locations and management personnel. Physical Key Program: Administers company key program, maintains physical key inventory for all business locations and inventory assigned to employees. Must maintain a high degree of integrity when handling security program. General Clerical Support: Provide assistance to the department with routine photocopying, faxing, mailing, scanning and filing. Create and modify documents using Microsoft Word, Excel and PowerPoint and maintain hard copy and electronic filing systems that business enterprise relies upon. Provide administrative assistance for invoice processing. Manage special projects as defined by the Senior Vice President of Operations. Key liaison between department and multiple business locations. Ability to follow up and communicate progress timely and efficiently between business locations and ensure key holders have current information. Flexibility to assist in office/cubicle moves or equipment moves at the corporate location and small handyperson projects such as replacing light bulbs, hanging shelves, changing air filters, etc. Ability to work daily hours in person Monday to Friday from 9am to 5pm at the Tampa support office location. May visit a field office for training or handyman repair or on occasion to assist with a trouble-shooting issue. Must have reliable transportation. Qualifications Very strong multi-tasking skills and attention to detail are required. Excellent written (email) and verbal communication skills are a must. Ability to work in a fast-paced environment, under deadline pressure and manage multiple projects under a variety of time constraints. Proven problem-solving skills and strong organizational skills are critical. Familiarity with automated trouble ticket systems, property management, maintenance issues and business licenses/registrations is highly desired. Healthcare industry experience preferred; dental industry experience highly desired. Strong integrity and work ethic. Ability to work independently and meet tight deadlines. Strong work-attendance record is required. Physical Demand Occasional lifting or moving heavy materials such as boxes, equipment and documents. Ability to lift up to 50 pounds. Ability to stand, bend, twist, sit and type for extended periods of time.
