The Marketing and Communications team at ClimateWorks Foundation has a key role to play in building awareness, generating funder interest, and promoting philanthropic collaborations that can help end the climate crisis. We’re a small but mighty team, working to expand the organization’s impact, outreach, and engagement to funders, partners, and grantees globally. Events are a vital part of advancing our mission, creating opportunities to connect with our partners to share learnings and spark the collaborations needed to accelerate climate solutions. Job Summary The Events Associate provides critical project management, logistics, and communications support to ensure the successful execution of major organizational events — including all-staff retreats, in-town weeks, and key external events. This role serves as the operational backbone of the events function, ensuring deadlines are met, budgets are protected, best practices are followed, and all event communications are clear and consistent. By managing the details end-to-end — from vendor coordination to event technology platforms to internal production timelines — the Events Associate enables senior leadership to focus on strategy, content, and organizational priorities. This position is ideal for a highly organized, detail-oriented professional who thrives in a highly collaborative, cross-functional environment and wants to directly impact the effectiveness, efficiency, and professionalism of our organization-wide events. Essential Tasks Event Logistics & Coordination ● Lead operational planning and execution of internal and external events under the direction of the Events Manager. ● Serve as the project management hub — tracking milestones in Asana, enforcing deadlines, and ensuring all stakeholders deliver on time. ● Coordinate with vendors, venues, and internal teams to secure travel, lodging, catering, and technology support for internal staff events (In-Town Week and All Staff Retreat). ● Manage intake and scoping of new event requests, helping shape agendas, staffing needs, and timelines from the outset. ● Act as a point of contact for staff inquiries regarding the event planning process, providing clear guidance on expectations and responsibilities. Event Platform & Tool Administration ● Build and manage customized event registration forms and attendee lists tailored to event objectives. ● Create and maintain event websites using Stova/Cvent (or similar), ensuring consistent branding and accessibility standards. ● Draft and distribute event-related communications via the organization’s email marketing platform to drive timely response and engagement. ● Maintain a centralized repository of event assets, templates, and documentation for efficiency and knowledge-sharing. ● Partner with the IS&T to maintain existing tools and lead the rollout of new event management systems. Required Qualifications ● 3–5 years of experience in event coordination, project management, or operations in a fast-paced, cross-functional organization. ● Proven ability to manage complex logistics with precision and efficiency. ● Strong proficiency in Salesforce and Asana ● Highly organized, detail-oriented, and skilled at keeping others accountable to deadlines. ● Excellent written and verbal communication skills; comfortable interacting with senior leadership. ● Flexible, proactive, and able to adapt quickly as needs evolve. ● Able to remain calm under pressure, successfully managing shifting priorities with problem-solving skills. ● Experience managing event budgets and vendor relationships is a plus. ● A Cvent certification is preferred, not required. Compensation ClimateWorks offers an excellent benefits package and a competitive salary that is commensurate with experience (geographic differential applied based on location). The following salary range is for candidates bases in the United States. Salary Range (Bay Area / NYC): $80,000 - $85,000 annually Salary Range (Other US): $75,000 - $80,000 annually ***ClimateWorks strives to create an equitable culture of transparency and fairness. Exceptional candidates can work from the SF office or from other locations, geographic differential applied to compensation based on local cost of labor.
