Position Summary Front Desk Receptionist/Customer Service is responsible for performing clerical tasks within the office setting to support daily operations, as well as entering customer orders. Essential Functions Include, but are not limited to the following: • Greet visitors and clients in a professional manner • Answer, screen and forward incoming phone calls • Scheduling will call and delivery appointments. • Entering customer orders sent by email and sending order confirmations • Organizing files and assisting for accounts payable with department filing, including filing invoices and supporting documents (BOL’s, Pick List, Sales Order) • Checking in drivers and directing them to assigned loading docks • Verifying that commercial drivers fill out check in forms and that copies of driver licenses are made. • Responding to all customer inquiries in a polite and timely manner • Shipping out all sample orders • Assist colleagues with administrative tasks as needed • Complete tear-downs once invoicing is received Position Requirements: Job Experience / Requirements • 3-5 years of experience working in an office setting • Strong verbal communication skills to interact with clients, visitors, and staff in a professional and courteous manner • Excellent organizational skills to manage a variety of tasks simultaneously, including appointment scheduling, message taking and documentation • Proficiency in using office equipment like telephones, photocopiers, and computers. • Knowledge of MS Suite software, and experience with an ERP system, Aptean Ross, is a bonus. • Strong analytical skills • Excellent eye for detail • Strong customer service skills to provide a welcoming and positive experience for all visitors and clients • Problem solving skills to address common issues like scheduling conflicts or communication mishaps • Punctuality and reliability, the individual is the first point of contact for visitors and clients Physical/Mental Environment: • Regularly required to sit, stand, and walk for extended periods. • Regularly required to use hands to handle objects and feel controls. • Regularly required to reach; climb stairs; stoop; crouch. • Regularly required to talk, listen, and have vision capabilities that enable reading and viewing a computer screen. • Ability to lift up to 20 lbs.
