Description The City of Tukwila's Permits Department is in search of an Administrative Support Technician who will perform routine administrative support activities involving gathering and compiling information and processing a variety of documents, forms, applications, and/or money. The successful candidate will provide excellent customer service via phone, email, or in person while also being able to multi-task in a busy front office environment. About The Department: The Department of Community Development (DCD) is responsible for all matters affecting the physical development of the City. DCD assists residents and businesses on development, long-range planning, environmental sustainability of projects and programs that impact the City, and code enforcement. Essential Duties and Responsibilities Creates, issues, processes, edits and distributes a variety of documents such as correspondence, invoices, agendas, schedules, applications, requisitions, reports, articles, pamphlets, agreements, contracts, inventory records, forms, logs, ordinances, standard operating procedures, and budgets Generates and processes billings as assigned; monitors office budget; tracks expenses; performs office opening and closing procedures. Prepares, tracks, and reviews for completeness, accuracy, status, or eligibility of documents and records such as case files, applications or claim forms; and determines adequacy of documentation. Enters queries, reconciles data and maintains departmental records such as registrations, billing, revenue, expenditure, receipts, work orders, specifications. Gathers, organizes, copies, and routes documents, files and informational packets; receives money for items, fees, services and/or applications; maintains status; issues receipts, licenses, passes, or permits; conducts brief interviews or queries to obtain information. Answers departmental phones and routes calls as appropriate; responds to applicant complaints and provides referrals for emergency requests; schedules and organizes appointments, meetings, rooms, events, inspections, and activities. Serves as the primary contact for the Permit Center at the front counter, on the phone or through email. Creates, archives, digitizes and maintains various records management systems. Coordinates and administers records system. Records incoming documents for permanent legal records and verifies records retention. Maintains reasonable, predictable, and regular attendance during the standard work week. Knowledge, Skills and Abilities KNOWLEDGE (position requirements at entry): Grammar, spelling and punctuation; File maintenance; Customer service techniques; Terminology used in the field assigned; Applicable rules, regulations for assigned area; Mathematical principles; Accounting principles; General bookkeeping; and Office practices and procedures. SKILLS (position requirements at entry): Creating and maintaining file systems; Applying customer service techniques; Taking minutes and transcribing notes; Inventorying and ordering office supplies; Scheduling meetings, appointments and rooms; Proofreading; Paying attention to detail and accuracy; Maintaining confidentiality; Keyboarding 50 wpm; Performing basic mathematical calculations; Using office equipment such as multi-line phones, copiers, calculators, and other equipment specific to assigned department; Using computer and related software applications appropriate to assigned field; Establishing and maintaining effective interpersonal relationships at all organizational levels and with the public; and Communication, both oral and written, sufficient to exchange or convey information and to receive work direction. Education, Experience and Other Requirements TRAINING, EXPERIENCE AND LICENSING REQUIREMENTS (Position requirements at entry): High School Diploma or General Equivalency Diploma (GED) and two years of experience related to office support functions; or an equivalent combination of education and experience which provides the knowledge, skills and abilities sufficient to successfully perform the essential duties of the job. PHYSICAL ACTIVITY/REQUIREMENTS: Positions in this class typically require: stooping, kneeling, crouching, reaching, mobility, grasping, talking, hearing, seeing and repetitive motions. Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting, most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
