Job Summary: The Inventory Control Clerk is responsible for supporting the management and organization of inventory related to events and venue operations. This role focuses on assisting in the tracking, monitoring, and maintenance of all event supplies, equipment, and materials, ensuring they are readily available, well-maintained, and in good working condition for events. The Inventory Control Assistant plays a crucial role in the efficiency of event operations, helping to keep resources properly stocked, organized, and accessible, while also ensuring that inventory levels align with the Center’s needs. Core Responsibilities: • Inventory Tracking & Monitoring: • Assist in tracking inventory levels of event supplies, equipment, and materials (e.g., furniture, décor, AV equipment, linens, etc.). • Regularly update and maintain an inventory database or management system to ensure accurate records of all items. • Conduct periodic physical counts and audits of inventory to ensure accuracy and identify discrepancies. • Ensure all incoming inventory is properly logged and stored in an organized manner. • Inventory Organization: • Help organize and maintain storage areas for event supplies and equipment, ensuring that items are easily accessible and in good condition. • Label, categorize, and store inventory items in an organized way to minimize confusion and reduce time spent searching for items. • Ensure that inventory is properly cleaned, inspected, and maintained before and after events. • Event Preparation Support: • Assist the event team in preparing inventory for events, ensuring all necessary supplies and equipment are ready and available. • Help set up and break down inventory items, such as furniture, décor, and AV equipment, according to event requirements. • Verify that inventory requirements for specific events are met and communicate any potential issues or shortages to the supervisor. • Stock Replenishment & Procurement Assistance: • Assist in ordering and restocking inventory as needed, working with the supervisor or procurement team to ensure that inventory levels are maintained. • Track usage and report when items are running low, providing recommendations for reordering or replacement. • Coordinate with vendors and suppliers to ensure timely delivery of needed supplies. • Inventory Quality Control: • Inspect inventory items for damage or wear and report any damaged or faulty items to the supervisor. • Ensure all equipment is tested and maintained in good working order before being used in events. • Assist in organizing repairs or replacements for damaged inventory. • Event Day Support: • Provide support on the day of events by helping with the setup, positioning, and distribution of inventory items. • Ensure that all inventory is returned to the storage area in good condition after the event. • Help resolve any inventory-related issues that arise during events, ensuring minimal disruption. • Record Keeping & Reporting: • Maintain accurate and up-to-date records of all inventory movements (e.g., check-ins, check-outs, damages, returns). • Assist in preparing inventory reports for the venue's management team, highlighting usage trends, needs for replenishment, and any issues with inventory management. • Collaboration with Event & Operations Teams: • Work closely with event coordinators, production teams, and other staff to understand inventory needs for upcoming events. • Communicate effectively with other teams regarding inventory usage, stock levels, and event requirements. Qualifications • High school diploma or equivalent; some college coursework or certification in logistics, supply chain management, or event management is a plus. • Six (6) months upright forklift experience. • 2-5 years of experience in inventory management, logistics, or a related field (preferably in an event or venue setting). • Strong organizational skills with the ability to multitask and prioritize effectively. • Basic proficiency with inventory management software or systems (e.g., Microsoft Excel, event management tools). • Good physical stamina to assist with lifting and moving inventory items as needed. • Strong attention to detail and accuracy in tracking inventory levels and condition. • Valid Georgia Driver’s License. Special Requirements Forklift Certification required.
