High school diploma or equivalent with 3-5 years of event coordination or related experience, knowledge of event scheduling software, and strong organizational and interpersonal skills.
The Events Coordinator works within the Events Department for the downtown Raleigh Convention Center. Our modern 500,000 square-foot facility includes a stunning granite lobby with dramatic windows and downtown views, an elegant ballroom, and a massive exhibit hall, all with outstanding tech amenities and award-winning culinary delights. This position provides support for event planning and coordination, including service as the event logistics coordinator. Work includes serving as the preliminary contact and liaison between clients, setup, electrical, audio/visual, and other production staff. Also, the role oversees all event logistics, preparing, monitoring, and adjusting event logistics scheduled and preparing cost estimates and service orders. Work also includes meeting with clients, touring the facility, and performing miscellaneous administrative duties. Additionally, serves as a lead worker as needed, assigning work and monitoring work completion. Work Hours: This position is expected to work standard office hours between Monday - Friday. This is subject to change based on the events schedule and on-site coverage requirements, including early mornings, late nights, weekends and holidays, as needed. Employees may be requested to perform job-related tasks other than those specifically presented in this description. • Plans, coordinates, and oversees event logistics, including contacts, bookings, staff scheduling, and event support • Supports Event Managers by assisting with the completion of event documents, diagrams, and covering on-site scheduled shifts • Meets with clients to review and obtain event requirements • Oversees event setup, operations, and equipment removal • Generates estimates and performs frequent reviews during the event planning process; assists with selling event/booth space to vendors as needed Education and Experience: High School diploma or G.E.D. equivalency; 3 to 5 years' experience in audio, video, lighting, electrics, stage carpentry, rigging, events coordination or related field OR Any equivalent combination of training and/or experience that provides the required knowledge, skills and abilities may be substituted Preferred Qualifications: • Experience using Momentus (Ungerboesk) Event Booking Software Knowledge Of: • Event scheduling software • Policies, procedures, and applicable regulations regarding event operations • Uses and properties of supplies and equipment, including specialized equipment relevant to area of assignment • Occupational hazards and applicable safety principles and practices Skill In: • Anticipating client and event needs • Problem solving • Time management • Interpersonal skills Ability To: • Coordinate deadlines, prioritize work demands, and monitor work performed • Organize and maintain event documentation, schedules, and records • Give and receive work direction to meet standards and provide customer service ADA and Other Requirements: Work Environment and Physical Effort: Medium: Exerting up to 50 pounds of force occasionally, up to 25 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects. Work Environment: Work is typically performed in an office or similar indoor environment. Employees may occasionally work in an outdoor or street (near moving traffic) environment, in confined spaces, warehouse and shop environments and in a vehicle. Work Exposures: Work in this position does not require frequent environmental exposures. Employees may occasionally be exposed to moving mechanical parts and loud noises.
