Salary: $35.14 - $40.74 Hourly Location : (City Hall) Poulsbo, WA Job Type: Full-time Job Number: 26-00008 Department: Engineering Opening Date: 02/11/2026 Closing Date: 3/8/2026 11:59 PM Pacific DESCRIPTION Position Overview: The Project Coordinator position provides support to the Engineering team on a variety of administrative and project coordination duties. Positions in this class perform highly complex and diverse specialized support activities. Job Summary: This position assists with budget and contract administration, coordinate processing of invoices, and project administration. The incumbent will also assist with drafting and preparation of City Council agenda items. It is also responsible to coordinate, schedule, and support bid openings. ESSENTIAL FUNCTIONS Job Duties: • Functions as a support member to the department and works with colleagues to plan and perform administrative projects and daily activities. • Coordinates and performs administrative duties to support department functions; serves as a resource on City and department standard operating procedures. • Coordinates and performs department customer service and communications duties, including public outreach activities. • Assists with contract administration. • Oversees development and maintenance of department web pages, in coordination with project managers and department leaders. • Coordinates department-related public records requests, communicating with the City Clerk regarding research and response as needed. • Provides backup assistance to other staff members as needed. • Driving to and from various off-site meetings. • Regular and reliable attendance is required to perform the duties of this position and support departmental operations. • Employees are expected to follow all applicable workplace safety rules and practices in accordance with Washington State Department of Labor & Industries (L&I) guidelines. This includes maintaining a safe and ergonomically appropriate workstation in both office and remote work environments and promptly reporting safety concerns or hazards. • All employees may be required to perform emergency response duties in the event of a local emergency or disaster and are required to participate as part of the City's emergency operations. • All employees share responsibility for maintaining a workplace culture that promotes respect, dignity, and professionalism toward colleagues, community members, and the residents we serve. • Perform other duties as assigned. Knowledge, Skills, & Abilities: • Knowledge of general municipal government policies, procedures, terminology and related regulations. • Knowledge of professional standards for business correspondence, writing, spelling and grammar. • Knowledge of state records retention requirements for local governments. • Knowledge of principles and practices of efficient office management. • Knowledge of modern office procedures, methods and equipment, including computers. • Knowledge of applicable computer software applications. • Knowledge and skill in principles of business communication, research techniques and report preparation. • Knowledge and skill in basic mathematical principles. • Knowledge of city organization, operations, policies and procedures. • Ability to effectively plan, coordinate and complete department staff support functions on time, and to maintain multi-task priorities during frequent interruptions. • Ability to coordinate and complete specialized departmental staff duties requiring understanding of City practices as well as department practices and procedures. This applies to financial matters as well as compliance with federal, State, City and other regulations. • Ability to problem solve departmental customer service matters that require clarifying requests, performing research and problem solving on behalf of the department management team, providing responses to enquiries and maintaining response logs, records, and documentation. • Ability to tactfully and courteously deal with the general public and others seeking information about City services and activities. • Ability to demonstrate adaptability. Ability to deal with frequent change, delays, or unexpected events. • Ability to support and model the identified vision, values and behaviors of the organization. • Ability to establish and maintain effective working relationships • Ability to use initiative and independent judgment within established procedural guidelines. • Ability to operate a personal computer utilizing a variety of standard and specialist software. • Ability to communicate effectively both orally and in writing. Working Environment: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. • The regular work schedule is generally Monday through Friday, 8:00 am to 4:30 pm. • Work is primarily performed in an office which is busy, oriented to public service and subject to occasional work interruptions. • Noise level is moderate. • This position requires extensive telephone and computer operations. • Attendance at meetings may require working evening hours. • Sitting and/or standing for extended periods of time. Walking for short distances. Reaching, handling and grasping documents, binders, folders and books. Clear speaking and adequate hearing sufficient to communicate effectively and respond appropriately both in person and remotely. • Repetitive motions for computer and telephone use. • Exertion of force up to 15 pounds frequently to lift/carry/move objects, files, and other materials. QUALIFICATIONS Minimum Qualifications: • Graduation from high school or General Equivalency Diploma supplemented with continuing education; AND • Two (2) years of administrative support experience. • Any combination of experience, education and training that would provide the level of knowledge and ability required. Preferred Qualifications: • Experience working in the public sector or municipal government. • Experience with budgeting and contract administration. • Experience with permitting and supporting engineering staff. • Experience with MS Office Suite. Licenses and Other Requirements: • Possession of a valid Washington State driver's license and safe driving record are required. The City contributes 95% of the cost of medical/vision premiums and 100% of dental premiums. In 2025, the employee's cost is $84.73 per month for full family coverage. There is a $30,000 life insurance policy paid for by the City. Employees receive 11 paid holidays, 8 hours of sick leave accrual per month, and 8 hours of vacation accruals per month with future increases to the vacation accruals per the collective bargaining agreement. After six months of employment, employees receive two floating holidays; and after one year, two personal leave days are provided. Employees receive an additional 2% longevity pay after five years which increases every five years thereafter with a 6% maximum. This position is eligible for retirement benefits through the Washington State Public Employees' Retirement System (PERS). 01 A completed application is required to be considered for this position.
