Job Description – Deputy Municipal Clerk & Administrative Assistant Reports To: Mayor and Presiding Municipal Court Judge (judicial guidance) FLSA Status: Non-Exempt @ $25 per hour 32 hours per week (4-day work week) Location: City of China Grove, Texas Position Summary The Deputy Municipal Clerk & Administrative Assistant provides comprehensive administrative, clerical, and citizen-facing support for City Hall and the Municipal Court. This position supports day-to-day court operations, maintains the City’s Ordinance Library, and oversees updates and coordination for the City website and the official message board. The role also manages public inquiries and delivers general administrative support to the Mayor, City Secretary, and department heads. This position plays a key role in ensuring professional, responsive service to residents while maintaining accurate records, safeguarding confidential information, and upholding all applicable state and municipal procedures. Essential Duties and Responsibilities Municipal Court & Clerk Support • Assist the Chief Municipal Court Clerk with case entry, docket preparation, and citation processing. • Provide courteous assistance to citizens regarding court appearances, payments, and compliance matters. • Process correspondence, receipts, and filings in accordance with the Texas Municipal Courts Education Center (TMCEC) and local procedures. • Provide administrative assistance to the Presiding Judge during court sessions. • Maintain confidentiality and professionalism in all judicial matters. Administrative Assistant Duties • Serve as the first point of contact for City Hall, answering phones, greeting visitors, and providing accurate information or referrals. • Manage communication with the City’s website vendor to ensure structure updates, information accuracy, and compliance with accessibility standards. Will also maintain content uploads and downloads as required. • Interface with the message board vendor to post and troubleshoot meeting notices and community information. • Regularly monitor the website and message board to ensure both systems are functional and current. • Prepare and distribute public notices, agendas, and other materials as directed. • Assist in maintaining digital and physical records consistent with the Texas Public Information Act and Local Government Records Retention Schedule. Records & Ordinance Support • Assist with organizing and maintaining City ordinances, resolutions, and administrative documents for ready reference. • Ensure ordinance and policy files are up to date and available for public review in coordination with the City Secretary. Support the Mayor, City Secretary, and department heads with routine administrative projects and correspondence. Perform other duties as assigned by the Mayor or Department Heads to support city operations.
