POSITION SUMMARY The Cincinnati Open is seeking candidates for a full-time position. This position is responsible for the planning, management, support, and supervision of event-related facility operations. The Operation Management Supervisor works in support of the Director of Operations, Facilities Manager, and the operations team to ensure the successful execution of year-round club operations, events, and tournaments. The Operations Management Supervisor assists the team in meeting the short-and-long-term needs of a growing organization. This position requires flexibility, strong leadership, and the ability to work extended hours, including nights and weekends, as operational needs exist. WHAT YOU’LL DO • Recruit, hire, train, schedule, and supervise Field Service Interns • Monitor recruiting platforms including Teamwork Online and Handshake • Identify qualified candidates, conduct Microsoft Teams interviews, and recommend candidates for hire • Respond to intern questions and provide ongoing support • Evaluate intern performance and provide feedback to improve productivity • Monitor teamwork and morale among interns and implement improvements as needed • Supervise Court intern groups • Create materials and recommendations to improve the internship program • Coordinate and manage all planned events, determining required facility support resources • Develop and implement comprehensive plans to prepare courts, and grounds for scheduled events • Oversee and assist with pre-event projects and site setup • Support assigned contractors to ensure completion of contractual work • Assist Facility Managers with monitoring facility and event operations during events • Assist with opening and closing responsibilities for the site • Secure all equipment and supplies before and after events • Produce post-event and post-tournament reports • Update operations photos annually • Make recommendations to improve event operations and tournament execution year over year • Assist in the development, implementation, and management of plans for court-related operations • Support court resurfacing contractors • Manage court washing projects and drying processes • Oversee pressure washing contractors • Order, organize, inventory, and store court supplies and equipment • Retrieve and store court supplies post-event • Preserve windscreens and court equipment • Develop and implement plans for grounds preparation and maintenance for scheduled events • Support volunteers with supplies and equipment for watering and weeding • Manage irrigation systems and adjust run times before and after tournaments • Support and manage landscaping contractors and plant suppliers • Assist with post-event adjustments and off-season landscaping projects • Schedule and support facility and event-related contractors • Assist in the return of rental equipment • Maintain storage areas by cleaning, organizing, and inventorying equipment • Maintain and operate facilities and operations equipment • Assist with equipment winterization and seasonal shutdowns • Conduct routine inspections for safety and security concerns • Adhere to all federal, state, local, and OSHA regulations • Obtain and maintain OSHA forklift and other required equipment certifications for self and interns • Create and maintain an atmosphere of warmth, personal interest, and positivity when welcoming guests • Respond to phone, electronic, and in-person inquiries with timeliness and accurate information • Assist with meeting preparation, including space reservations, IT set-up, and document preparation • Maintaining tidiness of breakroom and conference rooms • Assisting in year-round administrative tasks • Aid in planning itineraries and agendas for incoming guests, job candidates, and traveling team members • Coordinate team and special occasion events, both on and off-site • Secure reservations and coordinate rooms and dining accommodations for visitors • Maintain office supply levels and schedules for routine maintenance of office equipment • Provide copier support to tour officials in the player areas, media center, broadcast booths, and officials tent • Handle all on-boarding of summer interns, including updating manual, setting up on timekeeping system, arrange Lunch and Learn series meetings • Work collaboratively to streamline office processes and systems • Participate in internal and external projects to provide administrative support • Communicate effectively via phone and electronically with team members, vendors, guests, and partners • Other duties as assigned by management REQUIRED EDUCATION/EXPERIENCE/SKILLS/ABILITIES • Strong writing, organizational, and time management skills, with the ability to be responsive and balance priorities, work activities, and resources in a fast-paced, cross-functional environment • Demonstrates the highest standards of ethical behavior, sometimes with sensitive information • Meets deadlines and takes accountability and ownership of responsibilities • Completed four-year college degree or equivalent work experience in Sports Management, Event Management, Facility Management, or a related field required • Must have 2-5 years applicable work experience • Must be able to sit or stand for prolonged periods of time, lift boxes weighing up to 50 lbs, and climb ladders • Ability to work independently and manage multiple priorities • Microsoft Office Suite experience, and a willingness to become proficient in this area • Proven ability to supervise and lead teams • Valid driver’s license with a clean driving record
