Description About Us Chinese Mutual Aid Association (CMAA) is a fast-paced, community-based, 501(c)(3) nonprofit organization, dedicated to fostering the integration of the low-income, Pan-Asian immigrant and refugee community into the United States. Established in 1981, CMAA has been a cornerstone of the Uptown community, providing programming for generations o f low-income youth, adults, and senior citizens. We offer direct services, including: afterschool & youth mentorship programming, job training & placement, elder care services, and social services such as citizenship & housing services. Job Description Elderly Care Services Department delivers in-home services care to diverse seniors via Medicaid or insurance reimbursement and private pay, adult day services, and Golden Age Club enrichment activities. Elderly Care Services Department seeks an Onboarding and Administrative Coordinator to conduct a variety of daily activities from home care aide onboarding during the hiring and orientation process to administrative tasks that will help keep CMAA’s In-Home Services department running smoothly. Essential Functions & Responsibilities The successful candidate will handle a wide variety of matters, such as the following: Conduct and file I-9 forms and background checks for home care aides Onboard new hires and off-board exiting employees Facilitate orientation process for new home care aide hires Keep and maintain employee files up to date in various platforms, i.e IDOA’s Training Tracker Portal and HR system Employment Verifications and assistance in reconciling unemployment claims from IDES Generate reports such as but not exclusive to seniority and tenure, pay rates, new hires, sick time Assist in monitoring compliance with current federal, state and local laws and funder requirements Maintain a working knowledge of In-Home Service employee handbook and applicable policies. Answer home care aide employee questions and concerns as they arise Promptly assign online pre-service and in-service training to home care aides and maintain records of completed in-service training Assist in providing certificates of completion for home care aides who complete pre-service and in-service training Other duties as assigned by Supervisor Requirements Qualifications Bachelor’s degree preferred or two (2) years of equivalent work experience Experience working with HRIS (specifically Paylocity) is preferred Experience working with payroll process preferred Strong knowledge of multiple Google platforms and Microsoft Office Strong organizational and communication skills; self-disciplined with an ability to meet deadlines Must be adept at problem-solving, including being able to identify issues and resolve programs in a timely manner Self-motivated and works collaboratively with others Attention to detail Bilingual language (Mandarin/Cantonese, Vietnamese, Tagalog, Burmese, Spanish) is a plus Work Environment This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. This is a largely sedentary role, however, some filing is required. This could require the ability to lift files, open filing cabinets and bending or standing on a stool as necessary. Please note that the indicated base salary is provided in good faith estimate for the position at the time of posting.
