Administrative Operations Coordinator Chicago Building Services Full-Time | In Office (Mon–Fri, 8:00am–4:30pm) Chicago Building Services is seeking a dependable and detail-oriented Administrative Operations Coordinator to support daily service operations within our security systems, access control, and lock & door divisions. This is a mid-level administrative role within a structured, collaborative team environment. We value long-term team members who take pride in professionalism, organization, and strong client relationships. Responsibilities · Coordinate technician schedules for security and access control service calls · Track work orders from intake through completion and invoice readiness · Communicate with property managers, building engineers, and clients · Maintain organized documentation and prevent operational backlog · Receive and verify equipment shipments · Record vendor bills and support billing accuracy · Support installation coordination and project tracking This role supports centralized operations where communication and collaboration are essential. There is opportunity to grow into increased project coordination and management responsibilities over time. Qualifications · 2+ years of administrative or operations experience · Strong attention to detail · Professional communication skills · Ability to manage multiple moving parts · Experience in service, construction, or trade-related industries a plus In-office position. Monday–Friday, 8:00am–4:30pm. We are seeking someone who values stability, accountability, and long-term growth within a professional service environment.
