Cheyney University of Pennsylvania (CU) is seeking one (1) full time Academic Navigator to join the university’s new Chief Administration and Quality Office. You will coordinate the administrative operations of the Chief Administration and Quality office while providing integral support for Human Resources, Information Technology, and Public Safety/Emergency Management. Provides direct administrative support to the Chief Administration and Quality office (and the management team). This incumbent works on behalf of the university, the department and the President and must demonstrate the ability to work in confidence with all HR situations and legal matters. • Provides general administrative support for day-to-day operations, events and activities of the Chief Administration and Quality office. Is the first point of contact via telephones, emails and walk-ins and work on behalf of the department to maintain the highest professional standards • Responds to meeting notices in a timely manner and assists in prioritizing meetings to be attended in order of importance • Develops and provides various reports regarding activities and results for the department. • Uses Microsoft Office, SAP, and other technology to assist with the preparation of presentations, charts, booklets, announcements, programs, etc. • Schedules all appointments and travel, makes arrangements for meetings and events, takes notes and prepares meeting minutes as requested. Composes and prepares routine and non-routine correspondence, reports and memorandums. • Manages department files and establishes a method for tracking, retrieving all documents. • Liaison with the other departments, vendors, and external partners. • Handles and processes all incoming and outgoing mail, routes mail to appropriate office and follows up as necessary. • Maintains fiscal documentation for all receipts and disbursements, prepares and processes travel requests, leave forms, expense vouchers, office supplies requisitions and Agency Purchase Requests. Requirements Minimum Requirements • Associate's degree and at least three years’ experience as an Administrative Assistant or in a similar position are required. Such training as may have been gained through graduation from a four (4) year college or university or any equivalent combination of experience and training. • Must have a high level of proficiency in Microsoft Word and related software, including Excel and PowerPoint and strong written and oral communication skills.
