Full Time, Hybrid Boulder County, CO About the Chef Ann Foundation Founded in 2009, the Chef Ann Foundation (CAF) believes that all children should have equal access to fresh, healthy, delicious food, providing them with the foundation to thrive and meet their true potential. We ensure that school food professionals have the resources, funding, and support they need to provide cook-from-scratch meals that support the health of children and our planet. To date, we’ve reached over 16,000 schools and over 4.4 million children in all 50 states with our school food programming. Job Description The Human Resources and Office Coordinator reports to the Chief Operating Officer (COO) in this hybrid role (2 days in office, 3 days remote). This key position contributes to the foundation's success by supporting team members through maintaining a highly organized office and thriving virtual work environment. They provide administrative support to the COO and serve the business services area, including human resources, accounting, and technology verticals. We seek a detail-oriented, self-motivated professional with excellent communication, proofreading, and writing skills who thrives in collaborative environments. Key Responsibilities Human Resources Team Support (75%) Recruitment & Hiring: • Conduct Technical support such as job posting, communication with Hiring Leaders/candidates, folder organization, interview support, and reference checks within our Applicant Tracking System (ATS) and G Suite. Onboarding/Offboarding: • Collaborate with Human Resources and Technology teams to onboard new team members; process offer letters, create and maintain personnel files, complete I-9 E-Verify requirements, as well as ongoing file maintenance. Team Member Experience: • Manage team member birthday celebrations and gifts; • Coordinate anniversary recognition and gifts; • Coordinate life events cards/gifts, or recognition; • Oversee new team member welcome packages; • Support employee recognition initiatives; • Maintain physical inventory of team member items; • Manage team member documents and file systems (electronic and paper); • Oversee employee public files. COO Support: Administrative Support • Executive Assistance: Provide comprehensive administrative support to the COO; serve as the initial point of contact for general incoming emails and phone calls across multiple accounts; • Meeting Management: Provide meeting support, including note-taking, documentation, and technical assistance for monthly all-staff meetings and organizational gatherings; • Communications: Write and edit memos for the COO and business services directors; • Event Coordination: Plan and coordinate team retreats and organizational gatherings; • Project Support: Assist with end-of-year reporting; coordinate quarterly all-team activities (scheduling, presenters, supplies); maintain signature documents; • Calendar Management: Manage multiple Google Calendars and schedule meetings with logistics coordination. Technical and Office Operations • Presentation Support: Create and update PowerPoint and Google Slides presentations; develop and maintain spreadsheets in Microsoft Excel and Google Sheets; • Office Management: Ensure physical office space remains orderly and welcoming through systematic filing, organizational maintenance, promotional goods inventory management, and supply oversight; • Administrative Operations: Process office mail and bank deposits; receive and distribute mail; check voicemails; handle shipments; troubleshoot non-IT equipment. Cross-Departmental Support • Technology Team: Create accounts for new employees; maintain laptop inventory tracking for incoming and outgoing computers; • Accounting Team: Assist with payroll and accounting system data entry; And other duties as assigned within the scope of this position. Position Requirements • High school diploma; • Minimum of 3 years of experience in an administrative or Human Resources support role; • Ability to manage sensitive, complex, confidential information and maintain confidentiality; • High level of computer proficiency, including but not limited to Google (G-Suite), and Microsoft Oce Suite; • Adept at maintaining and improving procedural processes; • Ability to work virtually and in the office; • Detail-oriented, with good organization skills and a high degree of accuracy; • High level of computer proficiency, including but not limited to Google (G-Suite), Microsoft Oce Suite, and Mac OS; • Ability to travel outside of Boulder up to 10% a year. Preferred Education, Formal Training, and Certifications • Associate's and/or Bachelor’s degree; • Previous experience with Applicant Tracking Systems (ATS), Payroll / Accounting Systems, HRIS, and project management software; • aPHR / PHR or SHRM-CP certification. Compensation Compensation ranges between $23.47 - $30.11 per hour and will be commensurate with the candidate’s previous experience and credentials. The Chef Ann Foundation is a great place to work.
