Front Desk Administrative Assistant Position Description Updated: November 2025 Position Summary • Note: CRSAC is not a care or medical facility. The Front Desk Administrative Assistant serves as the first point of contact for members, guests, and callers at the Castle Rock Senior Activity Center. This full-time, hourly position provides administrative, customer service, and hospitality support to ensure the efficient operation of the Center’s front office, membership services, transportation coordination, and general facility needs. The ideal candidate is professional, personable, detail-oriented, and excels in a busy, people-focused environment. Strong communication, organizational, and multi-tasking skills are essential to this role. Supervision The Front Desk Administrative Assistant reports directly to the Assistant Director – Events, Fundraising & Outreach and works under the overall supervision of the Executive Director. Essential Duties and Responsibilities Membership & Customer Service • Greet, assist, and direct visitors, members, and callers in a friendly and professional manner. • Provide accurate information about Senior Center programs, services, and community resources. • Enter and maintain membership data in SchedulesPlus. • Process new and renewal membership applications and payments. • Send monthly birthday postcards to members. • Create membership cards and prepare name tags for events as needed. • Record donations and prepare thank-you letters and receipts. General Office Support • Provide general office support to ensure smooth day-to-day operations. • Answer and route multi-line phone calls; relay messages promptly and accurately. • Handle activity sign-ups, cancellations, and waitlists; verify payments and maintain accurate records. • Manage cash register and credit card transactions for memberships, activities, and shuttle donations. • Assist with mailings, data entry, tallying information, and preparing reports. • Organize and maintain cleanliness of the front desk and reception area. • Prepare and update the monthly electronic calendar and slideshow of daily activities. • Assist with medical equipment donations, check-outs, and maintain the organization of the medical shed. • Shred confidential documents and uphold secure document handling protocols. Transportation Support • Answer transportation phone calls and enter ride requests and cancellations into SchedulesPlus. • Serve as the first point of contact for drivers; prioritize communication with them during shuttle hours. • Confirm next-day ride schedules with riders and communicate updates to the Transportation Coordinator. • Support the screening and onboarding process for new transportation riders. • Manage daily driver sign-in sheets and maintain accurate rider records. • Assist with receiving and recording transportation donations. Hospitality & Facility Support Shared with Front Desk Coordinator • Assist with setting up morning coffee and light refreshments in the Vista Room; maintain tidiness throughout the day. • Assist with preparing afternoon snacks or popcorn and complete end-of-day clean up. • Organize and rotate freezer donations from community partners (Starbucks, Safeway, Panera, etc.) with proper labeling and dating. • Assist with preparing rooms and tables for activities, classes, events, and meetings. • Support event staff by printing class lists, assisting with set-up, or coordinating volunteer support. Experience & Training Requirements • Proficiency in Microsoft Office (Word, Excel, Outlook). • Experience with data entry or database systems (e.g., SchedulesPlus) preferred. • Experience handling cash and electronic payments. • Excellent written and verbal communication skills, including professional phone etiquette. • Strong organizational skills and attention to detail. • Prior administrative or customer service experience preferred. • High school diploma or equivalent required. Physical Requirements • Ability to lift up to 25 pounds. • Ability to perform basic office tasks involving fine and gross motor skills. • Ability to communicate clearly in person, by phone, and over radio. • Ability to visually read, sort, and organize written materials and office items. • Mobility to move throughout the facility to support programs, events, and administrative needs. Other Requirements • Ability to maintain professionalism when interacting with members, volunteers, staff, and the public. • Ability to remain calm, flexible, and effective in a fast-paced environment. • Strong problem-solving and critical-thinking skills for unexpected situations. • Willingness to learn new systems, procedures, and technology tools. • Ability to work collaboratively with staff and volunteers.
