Position Description: Under the direction of the Chief Operating Officer, the Senior Director of Operations ensures day to day operations that reflect the mission of Cascadia. Additionally, this position oversees team management, processes and procedures and financial performance, while fostering a positive work environment and ensuring exceptional customer service. Management reserves the right to modify, add or remove duties as necessary. • Manage and monitor internal systems and processes that support daily operational functions. • Plan, evaluate, and implement organizational objectives and activities to ensure efficient operations across the organization. • Provide operational support across the organization through coordination of standardized workflows. • Develop and revise operational procedures and protocols to support organizational growth and mission delivery. • Responsible for overall administration of operations including reviewing and evaluating the results and quality of services and activities. • Support strategic goals of the organization and identify sustainable and efficient growth opportunities in alignment with Cascadia’s mission and vision. • Create and maintain the annual operational plan in partnership with the senior leadership and organizational trajectory. • Develop, monitor, and administer Operations financial performance to ensure budget is tracked to target. • Partner with organizational leaders in evaluating quality assurance and process improvement for healthcare delivery. • Collaborate with both internal and external stakeholders on best practices, key operational metrics and regularly evaluate progress toward established goals. • Provide regular updates to senior leadership through dashboards and reports. Compliance: • Respect and honor participant rights and responsibilities and demonstrate professional boundaries and ethics. • Assures compliance with local, state, and federal laws and regulations, including FQHC and CCBHC requirements. • Maintain knowledge of, review and ensure compliance with all applicable federal, state, county, and city regulations, contract obligations, and internal policies. • Adhere to mandatory abuse reporting laws and HIPAA requirements. • Attend seminars, training, and other educational opportunities to develop professional skills and abilities. • Provide input and feedback to program leadership regarding program policies and procedures. Supervisory Oversight: • Lead staff and plan strategies to facilitate integration of operations throughout departments. • Participate in staff meetings and training. • In collaboration with the management team ensure work plans and priorities for staff members are addressed. • Oversee and approve all timesheets and Paid Time Off according to organizational policies and procedures. • Provide consistent supervision and support for direct reports. • Promote and ensure completion of annual training requirements. • Demonstrate commitment to continuing professional development. Leadership: • Take the initiative in thought leadership, innovation, and creativity. • Create, model, and maintain a work culture that supports Cascadia’s mission. • Attend and participate in all meetings as assigned, including but not limited to staff and team meetings, consultations with staff, individual and group supervision. • Develop and maintain strong relationships with internal and external customers to promote quality and efficiency in Cascadia operations. • Perform other duties as assigned. Qualifications Education: • A high School diploma or equivalent is required. • A bachelor’s degree in relevant field is preferred Experience: • 10+ years of related work experience, with at least three years of management or supervisory experience is required. Specialized Knowledge, Skills, and Abilities: • Proven leadership and managerial skills with the ability to plan, organize, execute, and direct healthcare operations. • Strong analytical skills with the ability to interpret data and trends. • Strong financial acumen and ability to manage up and down within an organization. • Communication skills with technical expertise in facilitation, consensus building, collaboration, effective budget management/development. • Expert level written and verbal communication skills • Demonstrated proactive approaches to collaboration and problem-solving to meet deadlines • Highly resourceful team-player, with the ability to also be extremely effective independently. • Demonstrate ability to translate policies into operational processes • Operate computer hardware and software at a level needed to effectively perform job functions. Other: • Must have the ability to travel to multiple locations throughout the Portland Metro area. Working Conditions Environmental: Work is performed in one or more of the following: clinical office, acute care settings and community setting including client residences, correctional facilities, shelters, hospitals, public places and other social service sites. Meal periods and breaks are subject to interruption. Universal Precautions and remaining alert to the environment are critical to address the potential for violent behavior, exposure to disease, biohazards, noise, and contaminants. Mental Demands: The work assigned is diverse and involves addressing new and unusual circumstances. The work regularly involves a degree of unpredictability and disruption of planned tasks requiring a flexible time management approach. In addition, this position requires exercising sound judgment.
