This position will be 8:00am-4:00pm, Monday-Friday. Here, your work is more than a job, it's a meaningful part of something bigger.Come see the difference!What You'll Do as an LVMG Office Assistant II: Serve as the designee for the Office Manager in their absence. Maintain and regularly update the resident and constituent information database. Record and compile accurate meeting minutes, as needed. Assist in the recruitment and onboarding of new clerical team members. Support the preparation and formatting of reports, correspondence, charts, policies, meeting minutes, calendars, and other documents. Operate standard office equipment, including telephone console, fax machine, copiers, folding machine, postage meter, and related tools. Document and maintain procedures for routine clerical tasks; ensure the clerical procedures manual is accurate and up to date. Monitor office supply levels and maintain organized inventory of materials. Manage and update organizational census data; generate and distribute related reports. Provide front desk coverage and perform Concierge duties as needed. Assist team members with the use and troubleshooting of office equipment, including printers and copiers. Participate in the training and support of new employees. Engage in learning and professional development opportunities to enhance job performance. Represent the office on internal and external committees, as requested. Excellent interpersonal, written, and verbal communication skills, with the ability to interact effectively and tactfully with individuals at all levels, including residents, staff, families, external vendors/authorities, and the public. Strong attention to detail in writing, proofreading, managing priorities, and meeting deadlines in a fast-paced environment. Proven ability to work both independently and collaboratively within a team environment, demonstrating a cooperative, respectful, and compassionate approach to colleagues and resident care. Skilled in the use of standard office equipment and technology. Maintains professionalism, composure, and a positive attitude when managing challenging situations. Physically able to move throughout the workday and lift items up to 20 pounds using safe handling practices.
